About the Role

We are currently recruiting for an experienced Facilities Coordinator to join a busy Facilities Management team on an initial 6-month contract, with the potential for a longer-term opportunity.

This is a varied and hands-on role, supporting the effective management of facilities, building compliance and maintenance across multiple premises. You will play an important part in ensuring buildings remain safe, compliant and well maintained, while supporting the Facilities Manager with a range of statutory and operational responsibilities.

Hybrid working is available; however, the role will require a significant amount of time on site in Gravesend, Kent.

Key Responsibilities

* Administer, monitor and review the performance of facilities supply contracts across all premises, ensuring continuity of service and compliance with relevant legislation. This includes ensuring contractors attending site are suitably qualified and legally competent to undertake their work.

* Support the Facilities Manager in managing and monitoring fire safety arrangements, ensuring compliance with all relevant fire safety legislation and requirements.

* Ensure all planned preventative maintenance (PPM) activities are completed within required timescales, liaising with contractors and obtaining relevant statutory inspection and compliance documentation.

* Maintain and manage the Asbestos Register, ensuring compliance with the Control of Asbestos Regulations 2012. Arrange regular asbestos surveys across premises and coordinate the management or removal of asbestos where required.

* Coordinate regular Legionella risk assessments, surveys and preventative measures to ensure the risk of Legionnaires' disease is effectively controlled in accordance with the HSE ACOP L8 guidance.

* Liaise with contractors, suppliers and internal stakeholders to ensure facilities services are delivered effectively and efficiently.

* Maintain accurate records and documentation to demonstrate ongoing statutory and regulatory compliance.

Essential Requirements

* Previous experience in Facilities Management, particularly within hard services and building compliance.

* Experience managing and monitoring contractor and supplier contracts.

* A good understanding of statutory compliance requirements within a facilities environment.

* Strong organisational and administrative skills, with the ability to manage competing priorities.

* A proactive and problem-solving approach.

* Ability to work effectively as part of a team and independently when required.

Desirable Qualifications and Experience

* A professional qualification in Facilities Management or a related discipline.

* Legionella Responsible Person qualification or relevant practical experience.

* Experience managing asbestos compliance and maintaining asbestos registers.

* NEBOSH or IOSH qualification.

Personal Attributes

We are looking for someone who is:

* A strong team player with excellent communication skills.

* Proactive, organised and able to take ownership of responsibilities.

* Problem-focused, with a practical approach to resolving issues.

* Confident liaising with contractors and internal stakeholders.

* Detail-oriented, particularly when dealing with compliance, safety and statutory documentation.

The Opportunity

This is an excellent opportunity for an experienced Facilities Coordinator to take on a varied role within an established facilities team, contributing to the safe, compliant and efficient running of multiple properties.

With an initial 6-month contract and the potential for extension, this role offers an attractive hourly rate and hybrid working flexibility, alongside the opportunity to make a real contribution to facilities operations
