Role Summary

To organise, manage and control a multi trade workforce of operatives and subcontractors to provide a comprehensive repairs service.

To carry out on site inspections of repairs ensuring high standards of quality work and Customer Satisfaction.

To deal with any complaints arising from the operatives and subcontractors being managed and jobs undertaken

Salary: £40,500 + £2,640 (out of hours duty)

Hours: 40 per week

Contract: Fixed Term until January 2025

Accountabilities

People Management

•To manage works on site from initial stages to completion, ensuring that work is carried out to specifications, to budget and on time. Supervisors will issue instructions, authorise additional work, apply for time extensions where necessary and supervise operatives and subcontractors.

To assist in recruiting and training professional staff that reflect the standard of service required at Town and Country.

Monitoring systems, to ensure that work is completed and service is delivered to a standard that meets or exceeds Town and Country service promise to residents. Performance standards, targets and results should be clearly set out and published to promote a performance culture.

To ensure effective action is taken to address under-performance.

To provide advice to operatives on technical matters and problems arising and resolve operational issues.

To manage the Company vehicle fleet and ensure timely maintenance and servicing is carried out. Financial management and planning

To monitor the purchase of materials as stock items or against properties for audit trail.

Monitor against target indicators to achieve budget forecasts.

To assist the Repairs Manager in the monitoring of budgetary performance.

To authorise contractor invoices subject to agreed limits.

Ensure that all works completed are invoiced out without delays, thus maintaining cash flow.

To review Direct Repairs Service completed orders and review margin analysis. Technical expertise and personal duties

To hold regular review meetings with external contractors to ensure quality of service and works are carried out within the agreed time scales.

To comply with Health and Safety legislation in all operations. To ensure that Town and Country Insurer’s recommendations for safety receive prompt attention. To keep records as necessary for future reference by Health and Safety.

To effectively manage any external contract or services delivered through external partners.

To promote and act in accordance with Town and Country's policies and codes of conduct relating to Equal Opportunities, customer care, staff management and health and safety.

Manage to completion all works orders of DRS and external contractors.

To ensure all invoices / interim payments are made without delay and invoiced out payments are received for completed works.

Ensure that all contracts are run smoothly through effective management of the key players in the contract.

To ensure Operational staff are briefed and updated on progress in the achievement of the objectives and their contribution.

Maintain effective liaison with internal and external stakeholders, senior managers, all sections and relevant departments of Town and Country and relevant external bodies and organisations).

To carry out post inspections on site to identify quality, defects and improvements, ensuring high standards of work and customer satisfaction.

To carry out the duties of the post with an understanding of and commitment to customer care. Implement Town and Country customer care policies.

To effectively manage relations between different service areas to support effective customer service to residents.

To work closely with other managers in the Repairs Service, providing help and technical advice where appropriate.

To undertake technical surveys on properties and equipment and produce technical reports and estimates as required.

To assist in carrying out Town and Country's environmental policy within the day to day duties of the post. Performance management

To meet KPI performance targets and customer satisfaction targets for the service area as defined by the Town and Country Board and senior managers.

To ensure that service standards (policies, procedures and work instructions) are consistently applied by all staff.

Maintain a comprehensive and up to date knowledge of all relevant legislation, procedures and best practice for the service area. To advise employees of any changes.

To introduce new ways of working that will improve the service to residents and improve business efficiency.

To use Town and Country's IT systems to promote efficient and effective working arrangements and practices. To maintain an electronic diary and deal with correspondence, e-mails, telephone enquiries on a daily basis.

To undertake any other duties within the scope of the post, as directed by the Repairs Manager. • On occasions work in other areas of the organisation as required.

To be available and willing to work on the night call out rota for Town and Country on occasions if necessary.

To maintain a good working knowledge of all relevant IT systems related to Town and Country Repairs.

General

To promote and act in accordance with Town and Country's policies and codes of conduct relating to Equal Opportunities, customer care, staff management and health and safety.

To assist in carrying out Town and Country's environmental policy within the day to day duties of the post.

Maintain a comprehensive and up to date knowledge of all relevant legislation, procedures and best practice for the service area.

To maintain a good working knowledge of all relevant IT systems related to Town and Country.

To prepare replies to complex correspondence from members of the public and residents, in written and verbal form.

To work closely with other managers in Town and Country, providing help and advice where appropriate and covering for them where necessary.

Maintain effective liaison with internal and external stakeholders, senior managers, all sections and relevant departments of Town and Country and relevant external bodies and organisations).

On occasions work in other areas of the organisation as required.

Knowledge, skills and experience

Essential

• Knowledge of Industry Schedule of Rates.

• Significant experience of working at a managerial level.

• Experience of delivery of capital programme works.

• Experience of delivering a reactive repairs service through directly employed operatives and sub-contractors.

• Experience of managing professional staff where performance and the achievement of targets are core to business success.

• Experience of evaluating time and material requirements.

• Experience in dealing with contractors in a supervisory capacity.

• Experience in working with mobile technology.

• Experience of IT to include Microsoft Word and Excel.
