Description:
Our client is a successful and well-established company. They are looking for an experienced Administrator to join them as the Service & Hire Administration Assistant. This role will need someone who can multitask efficiently, manage a wide variety of administration and coordination tasks, and is confident on the phone with business customers.
Key Requirements:
• Extensive experience in a wide variety of Administration tasks
• Be able to coordinate and plan effectively
• Proficient in MS Office, particularly Word and Excel
• Excellent customer service skills, able to communicate effectively over the phone
• Attention to detail
• Flexible, with a can-do attitude
• Ability to work within timescales and to meet deadlines
Salary: £25,000 - £27,000 depending on experience.
Hours of work: 40 hour week, Monday to Friday, 8.00am – 5.00pm.
Permanent role (6 months probation period).
The purpose of this role is:
• To assist in control and manage the activities of internal and external engineering teams.
• To obtain maximum service volume and efficiency and to develop maximum potential income from all service.
• To assist in parts and hire customers for the company’s products within that area.
• Ensure off-hire inspections are completed regularly.
• To develop short term hire revenue through canvassing and cold-calling new and existing short-term hire customers on the telephone.
Key Duties:
• Assist with enquiries and telephone calls as required, including receiving and recording incoming customer service calls.
• Plan and distribute service repairs to Engineers and Sub-Contractors as required.
• Assist with Hire and Transport requests, ensuring that all equipment movements are logged with charges & costs correctly accounted for and invoiced.
• Record Engineer’s time sheets.
• Process all job sheets and apply the appropriate charges for all chargeable & non-chargeable work.
• Prepare estimates and arrange follow up work with Engineers / Customers.
• Manage examination records, arranging inspections as and when.
• Manage all driver training requirements for the depot (enquiries, arrangements, administration & payments)
• Compile customer Key Performance Indicator reports as agreed and defined by the customer.
• Ensure all service department paperwork and jobs are ready for invoicing.
• Ensure all records are filed/scanned and maintained in an orderly and timely manner.
• Assist in all other areas of the service administration operations as required to provide full support to the service team.
