Purpose Of the Role
Provide administrative support to a busy Service and Installation department as well as other colleagues. Full training to be given in all tasks.
Supporting the Assistant Service Manager as required to achieve the below:
Planning -
* Liaise with haulage companies regarding dates of collection and delivery and details of machinery to be installed, keeping Project Managers updated.
* Resource planning and allocation of engineers for projects and service work.
* Updating and maintaining “site daily” factoring in holiday/absence bookings.
* Working closely with project managers and customers to provide resource solutions to their requirements.
* Liaise with technicians and customers to ensure works are completed.
Travel arrangements -
* Book travel and accommodation arrangements for the Service and Installation team including flights, ferry, channel tunnel, vehicle hire, hotel, etc.
* Advise engineers of all bookings made for them.
* Support colleagues in other departments with travel arrangements where required, especially where cost savings can be made.
Plant hire -
* Arrange plant hire and equipment for service and installation work, always seeking the best price.
Timecards and Expenses -
* Check and authorise weekly timecards and expenses submitted by the BUK installation team ensuring compliance with Company policy and deadlines are met.
Department training -
* Identify, schedule and coordinate Service and Installation department training.
* Update and maintain department training records.
Purchase Orders -
* Raise purchase orders with correct and accurate information (subcontract labour, hire vehicles, plant hire, training).
* Receipt services in on Sage.
* Authorise invoices as necessary.
Hours of work
37.5 per week, 8:30-17:00
