About the job

We are recruiting for a Senior Finance Assistant. Firstly, and importantly, you'll be joining a welcoming and friendly team who are passionate about supporting each other and our customers. The core business works on an exciting range of HV projects renewable energy ICP and EPC projects, transmission & distribution commissioning projects and large-scale railway electrification projects.

Responsibilities:

* Completing bank account reconciliations daily, chasing missing receipts, invoices from suppliers/employees.

* Maintaining and updating customer/vendor accounts on the accounting system, dealing with queries.

* Checking expenses daily to make sure all of them go to correct nominal code with correct VAT rate.

* Ensuring of accuracy of all transactions, records and actions on accounting system and of abiding by financial regulations.

* Keeping financial records organised and easy to access.

* Reporting financial discrepancies, errors and customer complaints to the Finance Manager.

* Assisting Finance Manager and performing ad-hoc duties/requests.

* Managing admin process for all new company cars ensuring all information is recorded in the master vehicle tracker, P46 forms are submitted to HMRC and payroll is kept up to date with car allowances.

* Dealing with any employee queries that come in throughout the month e.g. pension contribution changes, address changes or bank account changes.

* Weekly reporting of bank balances to OCU.

* Monthly cash flow and 13 week forecast reporting to OCU.

Accounts Payable

* Ensuring all purchase invoices are uploaded onto the system in the same day

* Checking awaiting payments on accounting system and arranging outgoing payments on the bank according to due dates.

* Reconciling supplier accounts.

* Managing PO processes including creating purchase orders, completing approval processes, placing the order, arranging payments, chasing invoices etc.

* Managing invoice approval process.

* Reviewing outstanding POs on a weekly basis to ensure all POs are correctly marked as billed.

* Liaising with project managers on invoice approvals and ensuring all invoices are exported once approved.

Accounts Receivable

* Chasing payments from customers for outstanding invoices, updating overdue receivable spreadsheet accordingly.

* Sending customer statement and updating overdue receivable spreadsheet accordingly.

* Liaising with project managers and colleagues to ensure customer contacts are kept up to date.

What you will need to be successful:

* AAT qualified or willingness to work towards

* Proven experience in Finance using accounting software packages

* Excellent Finance IT skills including experience using MS Excel

* Ability to interact professionally and politely with all employees at all levels of seniority.

* You will be proactive, friendly and solution focused with high levels of attention to detail.
