Senior Executive Assistant to CEO

Our client, a Renewable Energy developer/investor, is recruiting a Senior Executive Assistant to join its expanding team in London on a permanent basis.

The role is wide and will suit an ambitious, accomplished EA seeking a challenge but able to “hit the ground running” at board level.

Key responsibilities include (but not limited to):

* Consider, plan and manage end to end travel arrangements including hotels, restaurants, taxis, itineraries and visas arrangements as required.

* End to end calendar and diary management including planning of annual, quarterly and weekly meetings as required, ensuring all meetings are clearly arranged with participants, meeting rooms, travel logistics, catering, IT requirements and agenda/materials as required.

* As requested by the CEO, to fully manage the CEO’s email traffic, handling joint-prioritisation and timely responses to assist the CEO with successful delivery.

* Support the CEO in meeting preparation, including drafting / collation of presentations and reports, tracking actions/submissions from team and accurate document management. As required, greet CEO visitors and guests and takes minutes to support the meetings.

* Administrative support with general correspondence, scanning and filing; update of CEO’s contact list.

* Manage accurate, timely tracking, submission and payment of CEO’s expenses;

* Work with the CEO, General Counsel and Group Company Secretary to plan and manage the Board & committee agendas.

* Work closely with other EA on all Board logistics and planning.

* As requested by the CEO, attend each Board meetings and some committee meetings to ensure smooth logistics, administrative support, and delivery.

* Attend meetings as required to support the CEO. Take minutes, track actions, and assist the CEO with any required follow-ups.

* Schedule, plan, coordinate and deliver quarterly Shareholder meetings as directed, acting as the main point of contact between the shareholders and the CEO, with support from the other EA.

* Distribute the Monthly Report to the Board and Shareholders in a timely manner.

* Assist in the preparation and delivery of any Strategy or company meetings

* Assist and/or organise companywide social events as required

Skills and Experience:

* Relationship management and ability to deal with people at all levels of the organisation

* Meticulous Planning and Organisation

* Ability to work as part of a Team

* Must be able to use own initiative and make decisions

* A can do and solution oriented attitude

* Multitasking, often a large number of urgent / priority tasks

* Willingness to take on project work

* Stakeholder and reputation management

* Office administration / management experience is essential

* Experience working at Board and C suite level is essential

* Mastery of all major IT applications and document production/formatting including Word, Excel, Outlook and PowerPoint, Teams

* Fluency in another language (especially French) is an advantage
