Job Title: Band 3 Urology Scheduling Assistant

Location: Craigavon

Duration: Temporary position, until March 2025 initially with possible extension.

Hours: Part Time. Mon-Fri, 21 hours per week – Mon-Fri 9am-5pm or 9am-2pm & 1:30pm-5pm

Salary: £11.67 per hour.

On behalf of our client, we are seeking a Band 3 Urology Scheduling Assistant who will be responsible for the scheduling of Urology patients throughout the Trust in accordance with clinically agreed scheduling criteria.

Duties include:

* Responsible for the scheduling of admission dates, either by post or telephone, arranging patients’ admission to hospital for Urology procedures from Trust waiting list information.

* Follow protocol and procedures to ensure the smooth administrative management of patients. This will require close liaison with consultants, specialist nurses, nursing staff, secretarial staff, medical records, cancer trackers and other relevant staff across the Trust.

* Prioritise workload in accordance with expected outcomes.

* Maintain effective communications in writing, by telephone or in person with patients and Trust staff at all levels.

* Be aware of departmental and internal Trust waiting times for all categories of patients and how this feeds into the Trust Performance Reports.

* Ensure IEAP standards are adhered to with respect to scheduling.

* Constantly review patient waiting lists and escalate capacity problems as they arise.

* Ensure maximisation of all urology sessions to the required point’s allocation, advising clinical staff, nursing staff and/or team manager of any patient issues.

* Liaise with pre-op and clinical staff as required regarding medications management prior to patient admission.

* Keep accurate and up-to-date records of all sessions using the computerised database within the scheduling team.

* Keep accurate and up-to-date records of all sessions using a range of technology and systems (TMS, PAS, and computerised databases) within the scheduling team.

* Deal with any unforeseen issues relating to the Urology lists, e.g., Medical Staff sickness, missing case notes as appropriate and escalate as required.

* Deal with telephone and face to face enquiries from all staff groups, patients, relatives and carers, providing information, directing and prioritising queries as appropriate to ensure efficiency and effectiveness of the scheduling process.

* Collate and summarise data to feed into the monthly performance activity reports.

* Contact patients requiring surveillance/planned procedures at least 2 months prior to their expected date of admission for clinical and administrative validation.

Essential criteria:

* 4 GCSEs at Grades A-C including English Language and Maths or equivalent / higher qualification AND 1 years’ experience in a clerical / administrative role

OR

* 2 years’ experience in a clerical/administrative role

* Experience in the use of Microsoft office products including Word and Excel, or equivalent.

Other criteria:

* Ability to work as part of a team.

* Ability to use own initiative.

* Good organisational skills with an ability to prioritise own workload.

* Effective communication skills to meet the needs of the post in full.

* Attention to detail and accuracy in work

* Responsible attitude to confidentiality in relation to patient information.
