Reactive Repairs Scheduler / Repairs Coordinator

About the Company

Our client is a leading provider of repairs, maintenance, and property services, delivering essential works across the social housing, healthcare, and defence sectors.

Working in partnership with housing associations, local authorities, and public sector organisations nationwide, they manage everything from responsive repairs and planned maintenance through to compliance programmes, capital works, and large-scale property improvements.

Due to continued growth, they are now looking to appoint an experienced Reactive Repairs Scheduler / Coordinator to join their busy operations team.

The Role

This is a fast-paced and highly varied role at the heart of a reactive maintenance operation. As a Repairs Scheduler, you'll be responsible for coordinating day-to-day repair works, ensuring operatives are efficiently deployed, residents are kept informed, and jobs are completed within agreed service levels.

You'll play a vital role in delivering an excellent customer experience, balancing changing priorities while keeping repairs moving from first report through to successful completion.

This is an ideal opportunity for someone who enjoys problem-solving, thrives under pressure, and has previous experience scheduling repairs within social housing, maintenance, or property services.

Key Responsibilities

* Manage and schedule daily reactive repair appointments for a team of field-based operatives.

* Raise and process repair orders accurately, ensuring all relevant information is recorded.

* Act as the main point of contact for operatives throughout the day, providing support and guidance where required.

* Liaise with residents, housing associations, local authorities, and internal teams to provide updates on repair progress.

* Coordinate materials, parts, and supplier collections to ensure repairs are completed efficiently.

* Monitor workloads, diaries, and job statuses to maximise productivity and minimise delays.

* Respond quickly to emergency works, access issues, job variations, and changing priorities.

* Maintain accurate records across internal systems and ensure all repair notes and updates are recorded correctly.

* Escalate concerns and potential service delivery issues proactively to ensure customer satisfaction is maintained.

* Support the wider operational team in achieving contractual KPIs and service level targets.

What We're Looking For

* Previous experience as a Repairs Scheduler, Planner, Coordinator, or Administrator within repairs and maintenance, social housing, or property services.

* Trade background would be advantageous.

* Strong organisational skills with the ability to manage multiple tasks and priorities simultaneously.

* Excellent communication skills and confidence dealing with residents, operatives, subcontractors, and clients.

* Good IT skills, including experience using scheduling, repairs, or workforce management systems.

* A proactive and solutions-focused approach with the ability to remain calm under pressure.

* Strong attention to detail and the ability to maintain accurate records.
