Description:
Anderson Knight is recruiting for a receptionist for a well-established company based in Glasgow.
As a receptionist, you will deliver outstanding front desk service to all company callers and visitors.
This role is Monday to Thursday 08:30am – 5pm and Friday 08:30am – 3pm.
Main Duties and Responsibilities:
• Perform basic reception tasks such as answering phones, greeting guests, managing sign-in procedures, and handling mail distribution.
• Provide assistance with visitor accommodations, including lunch arrangements if necessary.
• Coordinate with office service providers regarding staff-related issues such as IT, telephony, photocopying, and maintenance of office equipment.
• Collect and reconcile fuel receipts against online statements, updating monthly fuel expense reports.
• Maintain the Office Maintenance Schedule, scheduling regular servicing and maintenance visits.
• Ensure cleanliness and organisation of office areas and proper storage of surplus equipment.
• Manage diaries and schedule boardroom appointments.
• Handle office supplies procurement, including stationery, cleaning supplies, and kitchen essentials, and manage associated purchase orders.
• Handle vehicle-related tasks such as road tax, servicing, and MOT bookings.
• Maintain vehicle-related spreadsheets, including mileage records and servicing schedules.
• Ensure vehicles are well-maintained and conduct regular checks before handover to drivers.
• Monitor driving licenses, track vehicle activities, and coordinate accommodation and travel bookings when required.
Key Attributes and Skills:
• Previous experience in reception or administration.
• The ideal candidate will be highly organised, detail-oriented, and capable of multitasking in a fast-paced environment.
• Excellent organisational and time management skills, with the ability to prioritise tasks effectively.
• Strong communication and interpersonal skills, with the ability to interact confidently with colleagues and external partners.
• Proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint) and other office software applications.
• Proven ability to work independently and as part of a team, with a proactive and solution-focused approach.
• Flexibility and adaptability to meet changing demands and deadlines.
• A positive attitude and willingness to take on new challenges and responsibilities.
• Previous experience working in Construction is preferred but not essential.
