Personal Assistant / Practice Manager

Future Operations Manager Opportunity

Location: Moorgate, London
Salary: £45,000 – £60,000 depending on experience
Hours: Monday to Friday (40 hours per week)

About the Practice

My client is a growing and ambitious wealth management business operating within a large Principal Partner Practice of St. James’s Place, based in Moorgate, London.

They are seeking an experienced and highly capable Personal Assistant / Practice Manager to work closely with the Practice Principal, initially providing high-level PA and operational support before taking increasing responsibility for the day-to-day running of the practice. Previous experience within wealth management, ideally SJP or an IFA environment, is essential.

This is an exciting opportunity for someone looking beyond a traditional administrative or support role and wanting to build a long-term career in practice operations.

The role is designed to develop into an Operations Manager position, with the successful candidate ultimately taking full responsibility for the day-to-day operational management of the practice and the growing team within it.

The Role

Working directly with the Practice Principal, you will become a central point of coordination across the business, ensuring client work, new business, administration, provider relationships and internal processes are managed efficiently and to a consistently high standard.

Key Responsibilities

* Managing the Practice Principal’s diary, inbox and day-to-day priorities.

* Acting as a key point of contact for clients and dealing with queries professionally and efficiently.

* Liaising with SJP, product providers and other third parties to progress outstanding matters.

* Chasing new money and ensuring cases progress through to completion.

* Overseeing operational workflow, including Letters of Authority, new business, replacement business and case tracking.

* Maintaining accurate and disciplined records within Salesforce and iBusiness.

* Monitoring outstanding actions and proactively chasing colleagues and providers.

* Reviewing and checking client documentation before it is issued.

* Team management responsibilities as the business grows.

* Supporting client meeting preparation and ensuring follow-up actions are completed.

* Managing and improving processes and procedures as the practice grows.

* Supporting the Practice Principal with projects and business initiatives from inception through to completion.

Future Progression

The role has been specifically designed with the future growth of the practice in mind. As your knowledge and experience develop, you will take increasing responsibility for workflow, systems, processes, team coordination and operational management, with the long-term objective of becoming the Operations Manager and taking ownership of the day-to-day running of the practice.

This is an opportunity to become a key member of the team and play a significant role in shaping the future development of the business.

About You

We are looking for an ambitious and proactive individual with a genuine interest in building a career in financial services operations.

Ideally, you will have experience as a Senior Administrator, PSS, Practice Manager, Office Manager, Operations Lead or similar within SJP, an IFA, financial planning practice or wider wealth management environment.

You will have:

* Previous experience within wealth management or financial services, ideally SJP or an IFA.

* Experience working within a highly regulated environment.

* Excellent organisational, administration and project management skills.

* Scrupulous attention to detail and accuracy.

* A proactive, resilient and persistent approach.

* A strong “completer-finisher” mentality and the ability to take ownership.

* Excellent written and verbal communication skills.

* The ability to manage multiple priorities and deadlines.

* Strong computer literacy, including Word, Excel, Outlook and PowerPoint.

* Experience with Salesforce and iBusiness would be advantageous.

* A professional, approachable and positive personality.

* The discretion required to operate in a confidential environment.

* Comfortable leading a team and being the go-to person for support within the business.

* Whilst industry related financial services qualifications are advantageous, they are not essential for this role.

* Most importantly, the ambition to develop a long-term career in practice operations rather than becoming a financial adviser.
