Job Title: Band 3 Personal Secretary

Location: Antrim

Duration: Temporary position, 3 months initially with possibility of extension

Hours: Full Time. Mon-Fri, 9am-5pm.

Salary: £11.11 per hour.

On behalf of our client, we are seeking a Band 3 Personal Secretary who will act as a Personal Secretary and will be required to provide a secretarial service to a senior member of staff, maintaining confidentiality in relation to all matters within the office.

Duties include:

•Deal with the Heads of Service general correspondence and be required to analyse all incoming mail / e-mails / information and ensure it is dealt with in an effective, efficient and prompt manner

•The preparation of documentation, presentations (files and papers) for the Head of Service in advance of meetings and provision of briefings as appropriate.

•Servicing meetings including preparation of agendas, preparation and distribution of papers, minute taking and follow up action where necessary.

•Co-ordination of actions to all enquiries ensuring that they are dealt with by relevant individuals within appropriate timescales and that any exceptions are reported.

•To put in place administrative systems to assist the Heads of Service to ensure that all deadlines are met and follow up any outstanding matters as necessary.

•Developing and maintaining efficient filing systems. Ensure incoming and outgoing mail/correspondence is organised within appropriate timescales and deadlines.

•Sourcing locations of where meetings are held to assist the Heads of Service.

•Ordering stock and monitoring requisitions.

•Screen and re-direct as necessary all incoming and outgoing telephone calls.

•Be responsible for word processing of all correspondence for letters, memos, spreadsheets, reports and all other documentation as requested.

•Responsible for maintaining and monitoring a B/F system to ensure deadlines are met by the Heads of Service

•Input and retrieve appropriate information from computerised systems e.g. SOSCARE, EPEX & PARIS

•Ensure that appropriate action plans are prepared and followed up and records are maintained.

•Provide cross cover support to other members of the Noble House Secretarial Team as required.

You will need:

* GCSE English and Maths (A*-C) AND 2 years clerical/secretarial experience in an office environment.

* 2 years experience in the use of ICT, including the use of Microsoft Word, Excel and Outlook.

* Full driving licence which is valid for the use in the UK and have access to a car on appointment.

Other essential criteria:

* Effective communication / interpersonal skills working across a range of sectors.

* Ability to work as part of a team while also being able to use your own initiative.

* Ability to work under pressure and to meet deadlines.

* Ability to take minutes of meetings.
