Your new role
The Personal Assistant will be supporting the CEO and Board level executives by providing a proactive, efficient, and high-quality service. This will involve working closely with the Head of Operations, Governance & Compliance as well as the wider administration team to support companywide functions, with a focus on good governance.
You will be actively managing the Executive's diary and email and, where necessary, action emails and provide support to the CEO to execute the workload. Forward plan the Executive's time to ensure adequate time is allocated for delivery and review of any upcoming key priorities, as well as planning and scheduling meetings, calls and teleconferences; ensuring relevant information is accessible electronically; including contact details and directions, as well as arranging travel between meetings.

Provide high level executive support to actively stay across all Board and Board subcommittee meetings and take accurate minutes and circulate to the ELT and Board in a timely manner, managing the Board and subcommittee action logs. You will be having consistent and regular communication with the Operations, Governance and Compliance Manager to build relevant and accurate meeting packs and agendas, distributing these to relevant contacts, and following up on actions.

Process purchase cards and expenses relating to the ELT and Board directors' travel, accommodation, meetings, events and other relevant activities, or delegate to an administrative team as required. Take ownership of any other related activities or projects as may be determined from time to time by the Operations, Governance & Compliance Manager or CEO. Maintain key relationships with direct reports of the CEO and ELT to ensure critical issues are communicated in a timely manner and brought to the attention of the executive.

This role is full-time, working Monday to Friday on a hybrid basis dependent on business needs.
What you'll need to succeed

Extensive experience supporting a senior level Executive.
Experience preparing detailed Board or Governance papers.
Experience managing a large workload within competing priorities and short deadlines.
Demonstrable track record of performance to a high standard in similar organisations.
The ability to operate with integrity and maintain total discretion.
Excellent time management, organisational skills and ability to work to tight deadlines and effectively prioritise workload.
Outstanding minute taking skills and the ability to manage a relationship with the Board of Directors.
Excellent interpersonal and verbal and written communication skills.
High level of enthusiasm and drive and ability to work on your own initiative.
Forward-thinking with a consistent approach, maintaining, and following through on tasks.
Excellent IT skills, including proficiency in all Microsoft Office packages.
