Office Administrator - Permanent, Part-time, office-based position to start ASAP!

20 x hours P/W – Working hours are Monday – Friday, 10.00am to 14.00pm (with some flexibility)

Annual Salary is £16,000pa (@ 20 x hours per week)

The opportunity

This is a fantastic opportunity for an experienced Office Administrator to join a long standing, family run Damp Proofing Company based in Hillingdon, Middlesex. Reporting directly to Carol (the Office Supervisor) we are seeking a trusted, hardworking individual to join the friendly team and make an impact here in this ever-growing company! Your duties will mainly consist of supporting the Office Supervisor, acting as first-line receptionist, answering in-coming calls, booking in appointments for the surveyors and providing support to the Operations Manager. As emails and calls come in to the office, you will liaise with the Surveyors and manage their diaries to book in suitable dates / times for them to visit customers. This will include route planning their journeys, liaising with customers and providing general support, as needed. You may sometimes need to check in with Surveyors and get back to customers with arrival times, advise them of any delays or re-book appointments where necessary, so the ability to deal with the occasional difficult call (whilst remaining calm & professional) is a must.

Previous experience of scheduling diaries would be very useful for this position, along with possessing solid PC and Administration skills, and having an organised, methodical approach to your work. A friendly, confident telephone manner is essential and as this is a small team, personality and team fit will be key for the successful candidate!

Main duties / responsibilities:

* Providing all Administrative support to the Office Supervisor

* Acting as first line receptionist; answering calls and dealing with daily enquiries that come in

* Supervision and efficient management of the main email account

* Managing the Surveyors’ diaries and booking in appointments

* Efficient route management of the Surveyors diaries and liaising with customers to confirm appointments / bookings / advise of arrival times / delays etc

* Logging of all survey information on the company system

* Making-up of Works files and providing general Admin support to the Surveyors

* Creating invoices on the office Accountancy System (Quick Books)

* Data Entry on Quick Books (paying excellent attention to detail)

* Supporting the Operation Manager with Scheduling of Works

* Creation of Reports for Housing Associations

* Preparing companies guarantees

* General day to day office duties and filing, as required

Skills / Experience required:

* You must be a Car driver, due to company location

* Ideally a minimum of 2 years’ experience in a similar office-based, Admin role

* Strong Administration skills

* Good attention to detail

* Good organisation skills

* Excellent telephone manner / customer service skills

* The ability to take direction and manage your own workload

* A friendly personality, with a “can-do” attitude

* Good PC Skills (Word, Excel, email etc)

* Previous experience of diary management & route planning would be an advantage

* Previous experience of using QuickBooks would be an advantage
