PA/Office Manager - Be the Orchestrator of Success at Mayfair based Energy Company

Are you a highly organised and proactive individual with a talent for streamlining operations?

Leading UK Energy Company is seeking a talented PA/Office Manager to provide exceptional support to the Executive Chairman and ensure the smooth running of our London office. This multifaceted role offers the chance to play a pivotal role in the success of our company.

As the PA to the Executive Chairman, you will:

Manage and proactively maintain the Chairman's diary, ensuring they are fully prepared for all meetings and engagements.
Arrange complex travel plans (including overseas) and coordinate any visa requirements.
Provide comprehensive logistical and catering support for Board meetings, dinners, and offsite events.
Act as a gatekeeper for the Chairman, managing internal and external requests and invitations.
Liaise and build strong relationships with the wider team and key stakeholders.
Track working time for the Chairman and Special Independent Director (SID) to facilitate tax compliance.
Manage travel expenses, ensuring adherence to company policy.
Draft and organize personal correspondence for the Chairman.
Maintain accurate records and manage the Chairman's travel cost centre.

As the Office Manager, you will:

Be the first point of contact for business visitors and subcontractors, managing visitor access and coordinating work.
Report and manage the resolution of office and equipment issues with Facilities.
Ensure the smooth running of mail services and courier requests.
Manage refreshment stock levels and hospitality arrangements.

To be successful, you will have:

Proven experience as a PA and/or Office Manager.
Excellent organizational skills with a meticulous attention to detail.
Strong communication, interpersonal, and diplomatic skills.
Proficiency in MS Office Suite and scheduling software.
The ability to work independently while also being a team player.
A proactive and problem-solving approach.
