Job Description – Order Processor

Job Title: Order Processor
Department: Sales Administration / Order Processing

Job Purpose

The Order Processor is responsible for the accurate processing of trade customer orders for uPVC windows, doors and associated products from quotation through to production. The role requires close liaison with customers, suppliers and internal departments to ensure orders are entered correctly, manufactured to specification and delivered within agreed timescales. The successful candidate will provide excellent customer service while maintaining high standards of accuracy and administration.

Key Responsibilities

The main duties of the role include:

Accurately processing customer orders using the company's order processing software.

Checking measurements, specifications, glazing, hardware, colours and accessories to ensure manufacturing accuracy.

Producing order acknowledgements, processing amendments and confirming lead times with customers.

*

Acting as the first point of contact for trade customer enquiries and resolving order-related queries.

*

Liaising with production, purchasing, transport and other internal departments to ensure the smooth progression of orders.

*

Monitoring order progress and communicating any delays or changes to customers.

*

Maintaining accurate customer records, documentation and general administrative records.

*

Ensuring all orders comply with company procedures, quality standards and relevant industry regulations.

*

Supporting continuous improvement by identifying opportunities to improve processes and efficiency.

*

Carrying out any other reasonable administrative duties as required to support the business.

Skills, Knowledge & Experience

The successful candidate will have previous experience in an order processing or sales administration role, ideally within the uPVC window, door or glazing industry. A good understanding of trade customers, window and door products, manufacturing processes and order processing software would be advantageous.

Excellent organisational skills, attention to detail and the ability to prioritise workload are essential. The role requires strong IT skills, particularly in Microsoft Office applications, together with excellent communication and customer service skills. The ability to work both independently and as part of a team is essential.
