The Office Manager is essential to the smooth operation of our office, providing comprehensive administrative support and fostering a productive work environment. This role requires exceptional organizational skills, a proactive mindset, and the ability to manage multiple tasks efficiently.
Key Responsibilities:
* Office Operations Management:
* Ensure the office is well-maintained, organized, and equipped with necessary supplies.
* Oversee office maintenance, repairs, and improvements.
* Manage relationships with vendors, service providers, and landlord, ensuring that all items are invoiced and paid on time.
* Administrative Support:
* Provide administrative assistance to the executive team, including managing schedules, coordinating meetings, and preparing documents.
* Handle incoming and outgoing communications, including phone calls, emails, and mail.
* Prepare and edit correspondence, communications, presentations, and other documents.
* Human Resources Assistance:
* Assist in the recruitment process by posting job openings, scheduling interviews, and conducting reference checks.
* Coordinate onboarding processes for new employees, including setting up workstations and providing orientation materials.
* Maintain and update employee records and office policies.
* Financial Administration:
* Assist with financial tasks such as processing invoices, managing expense reports, and basic bookkeeping.
