We're delighted to be looking to add an Office Co-ordinator to our team in Mark Lane to support the smooth running and operations of Head Office.

You'll be overseeing and supporting the front of house team who strive to deliver excellent service to all teammates and visitors to the office.

This is a highly varied role that will ensure that the team are supporting stakeholders appropriately and delivering for the team in the office as well as Internal and External visitors.

The day to day:

Oversee the running of the Front of House team (2 x receptionists)
Maintain high levels of efficiency, customer service and guest welcoming is met
Oversee management of desk booking platform, understanding the need to make careful decisions on behalf of US visitors for office bookings and for senior management and teammates in assigned neighbourhoods.
Assist the receptionists (during busy periods) in the clearing down and setting up of five client meeting rooms, some light furniture handling and other light hospitality duties:
Ensuring all supplies across the kitchens and stationary cupboards are maintained and re-ordered proactively
Ensuring reception areas always clean and tidy.
Ensure faults and complaints are dealt with speedily and with minimal fuss, following a process from within and outside the tenancy demise.
Oversee the management of preferred archive supplier ensuring schedule is kept up to date with support from reception team.
Oversee the co-ordination of first aiders and fire wardens ensuring certification is up to date and primary list is updated.
Communicate high level building security notices to teammates, and file notices relating to audits and other building issues.
Liaise with and support other London office locations working towards aligning front of house services.
Assist with ad-hoc projects as required.

About you:

You'll have a well rounded skill set that includes strong Communication, Influencing, Stakeholder Management and IT skills coupled with the ability do deliver solutions to issues.
You should have prior experience within a Front of House / Office Co-ordinator role and have a strong understanding of delivering first class service to both internal and external stakeholders
Ideally you'll have worked within a professional services environment and some understanding of the operations.
Prior exposure to managing a small team is highly beneficial but not essential for the right person
