We are excited to announce that we have a superb opportunity to join Cumming Europe Ltd, as part of Cumming Group, in the role of Office Administrator in our Stoke Office.

We are seeking to recruit an Office Administrator to provide admin support to the team in our office based in Stoke. We are seeking someone who has had previous experience in a similar role and is used to taking the initiative when required.

This is a Part Time 6-9 Month FTC role working 3 days p/w (Monday, Tuesday & Wednesday) with the potential opportunity for extension.

The role of an Office Administrator includes the following responsibilities:

Payment Notices:
Consultant Invoices

- Tracking invoices once received

- Typing payment notices, numerical checks, PO checks etc.

- Comping of payment notice once typed

- Chasing payment notices to ensure issued on time

- Liaising with Consultants i.e. Purchase Orders, Entity’s, Fees etc.

- Issuing payment notices

- Tracking payment notices have been issued

Contractor Invoices

- Tracking invoices once received

- Chase surveyors for completion of payment notices / help typing and preparing payment notice

- Comping of payment notice

- Liaising with Contractors i.e. Purchase Orders, Entity’s, Fees etc.

- Issuing payment notices

- Tracking payment notices have been issued

Cost Reports:
- Comp checking, amending, issuing, tracking and uploading to Viewpoint all cost reports

Meeting Minutes:
- Typing of hand written or typed meeting minutes, sense check and formatting

Viewpoint:
- Uploading / downloading to Viewpoint as requested

Assisting in the production of Tender Documents and Contract Documents:
- Collating the relevant documents, formatting, typing, printing, binding, posting etc.

CDM Support:
- Assisting on updates on the CDM Database

Drawings:
- Printing of drawings, creating drawing review sheets, updating comments, issuing review sheets

ADHOC:
- Typing or creating reports, letters, specifications, cost plans, organograms, project directories and FEA’s etc.

- Bid management /assistance, co-ordination and working to deadlines.

- Targeting & organizing promotional events, including industry wide attendance as well as round table discussions.

- Create content for different media channels.

- Capability Statements

- Production of itinerary and issue

- Answering the telephone

- Assisting with the running of the office & hospitality arrangements as required

- Liaising with staff and clients to ensure travel / hotel bookings suit

Qualifications & Skills:
- Preferably 1-2 years previous experience within office administrator role, or similar.

- Previous experience within the surveying/property industry is desirable but not essential.

- Experienced and within intermediate level in the use of MS Office; specifically Word, Excel, PowerPoint and Outlook.
