Job Description:

This role requires a professional Assistant to provide a fast and efficient service to three senior bankers and their team in ECM within GCM (Global Capital Markets).

Secretarial/Administrative:

The role involves extensive verbal and written interaction with internal colleagues and external clients, ensuring the building and maintenance of relationships both domestically and internationally within the team and across other business units. Responsibilities include exclusive control of the business schedule, maintaining calendars, acting as a 'gatekeeper' for the diary, arranging internal and external meetings, video and phone calls, and proactively ensuring no diary clashes, using initiative to find resolutions. Travel and expenses duties encompass booking and coordinating all travel, ensuring relevant agendas and itineraries are organized, and processing monthly expenses using systems such as Concur, ensuring they are processed quickly and within policy. The candidate will maintain the in-house Client Relationship Management (CRM) system and manage events such as closing and social/team events. Additional tasks include ordering business cards or handling other projects. Absence cover involves providing phone support to Bankers outside the designated team, working with the buddy group to ensure consistent coverage during lunch breaks, holidays, and sickness absence, and keeping handover notes up to date for ease of coverage.

Person Specification:

The ideal candidate will be an experienced, confident, and friendly individual with an outgoing, people-oriented personality capable of liaising with clients and staff at all levels. They will remain calm under pressure and manage last-minute changes effectively and efficiently. Exceptional time and priority management skills, along with flexibility, are essential. As a strong team player and supportive colleague, the candidate will be an articulate and effective communicator with a proactive 'can do' approach, using their initiative and judgment. They will take ownership of all tasks, following up on outstanding items without the need for chasing, and be highly organized with attention to detail. A discreet and professional manner is crucial to maintain confidentiality in all aspects of the workload. The candidate should have a good knowledge of Microsoft applications, particularly Outlook, and experience processing expenses online (e.g., Concur), booking travel via an online tool, working with CRM systems, and using Zoom. Experience in Investment Banking is preferred. Full training on all systems and policies will be provided
