What you’ll do
1. To support the Leadership Team in the operational efficiency of the department in order to ensure smooth running of all departments.
2. Process all orders received from medical customers within 48 hours of receipt including ensuring we have the relevant paperwork as required to comply with our licences.
3. Ship all medical orders from the system.
4. Obtain tracking numbers for all shipped orders.
5. Invoice all medical orders the day following despatch and email invoices to customers.
6. Manage all Medical customer phone and email queries and provide responses in a timely manner.
7. Review any outstanding paperwork at the end of each week and ensure tasks are completed, up to date and filed where possible.
8. Prepare monthly expiry report for service contract customers and make contact with them to advise what items they require to remain compliant.
9. Looking after a key client - you will maintain all administration aspects of this Customer contract including:
• Running a quarterly expiry report to establish items that require replenishment.
• Set up service orders to enable goods to be picked and packed.
• Ship service orders.
• Invoice service orders.
• Prepare quarterly MMI report to be sent to the customer along with monthly invoice.
• Process Call out requests as and when they arise and liaise with Head of Supply and Service as to when the visit can be completed.
10. To constantly strive to improve your department by identifying and implementing process and system improvements.
11. Ensure all paperwork/projects are completed or the relevant information passed to a colleague before any time off to ensure nothing is left outstanding.
12. To ensure that Health and Safety, ISO requirements and GDP guidelines are met within the function and report any variances to Coordinator and R.P if relevant.
13. Attend Training Courses when required.
14. Any other tasks as requested by the Head of Supply and Service.

Experience you need
- If you have experience in customer services or account management with great communication skills and excellent organisation skills we want to speak to you
- If you are IT savvy particularly Microsoft Excel and Outlook, we want to speak to you
- If you welcome change and enjoy being busy, we want to speak to you.
