Role: Family Legal Secretary
Job Description
We are currently seeking an experienced family legal secretary to join our client's reputable and well-established legal practice located in Didcot, with occasional work required at their Abingdon office. This position can be either full or part-time, ranging from 28 to 35 hours per week over 4 to 5 days, but Mondays and Wednesdays are mandatory. The ideal candidate will report to the Head of Contentious and primarily support the family solicitor by providing professional and efficient secretarial assistance. The successful candidate must be a dedicated and experienced family legal secretary with recent experience in administrative support roles within a Family department. They will be responsible for providing exceptional front-line support to fee earners and delivering professional administrative services to clients. Additionally, they will be proactive in learning on the job and contribute to the growth of the Family department. The ideal candidate will possess excellent client communication skills, technical proficiency in family law, and a solid background in case management. They should be capable of independently managing family files and have the ability to work with minimal supervision.
Key Responsibilities:
Timely response to inquiries from current clients and potential new business opportunities
Administrative duties such as audio typing, drafting and formatting letters, forms, and documents utilising Case Management and IT systems
Preparation of simple legal documents, such as divorce applications
Handling phone calls from clients with professionalism and empathy
Effective management of schedules and appointments
Ensuring accuracy, speed, confidentiality, and professionalism in all tasks
Prioritising meetings and appointments
Organising file management tasks, such as filing, photocopying, and archiving
Providing in-person client support for family law matters
Keeping clients informed through various communication channels
Billing for services rendered and following up on payments
Compliance with regulatory requirements such as ID checks and conflict checks
Collaboration with internal teams for efficient communication
Managing incoming mail and forwarding as necessary
Reporting equipment or software issues to relevant parties
Attendance at team meetings
Involvement in various tasks and projects as needed, such as meeting minutes, credit control, file archiving, IT support, and financial matters
Performing any other tasks as assigned by supervising solicitor or department head.

Ensure adherence to Solicitors Regulation Authority guidelines
Follow all company Health & Safety protocols
Support with Compliance issues specific to the department
Perform tasks as assigned by your supervisor
