Our client specialises in residential and commercial automation alongside the manufacture of industry-leading aluminium gates. They design, build, install and maintain electric gates, entry systems, bollards and barriers. They pride themselves on the quality of their work and the satisfaction of their customers.
The Role
As an Installations Coordinator, you will be responsible for the planning, coordination and successful delivery of installation projects from accepted quote through to completion. Acting as the central point of contact for customers, suppliers, subcontractors and installation engineers, you will ensure projects are delivered safely, efficiently, profitably and to the highest standards of customer service.
This position plays a key role in the day-to-day management of the installation department, requiring excellent organisational skills, commercial awareness, strong communication and the ability to balance multiple priorities in a fast-paced environment.
The successful candidate will be responsible for coordinating installation projects and supporting the day-to-day operation of the department, with the opportunity to take on increasing responsibility as they develop within the role, helping to shape and improve the installation function over time.
Key Responsibilities
Project Coordination
Manage installation projects from planning through to completion
Coordinate installation schedules with customers, suppliers, subcontractors and internal teams
Allocate installation resources effectively, ensuring engineers, subcontractors and equipment are utilised efficiently
Monitor project progress to ensure work is completed safely, on time and within budget
Identify potential delays or issues and proactively implement solutions
Ensure installation engineers have the necessary information, equipment and materials before attending site
Maintain clear communication with all stakeholders throughout each project
Customer Service
Act as the primary point of contact for customers throughout the installation process
Respond promptly to customer enquiries via telephone and email
Provide advice and guidance on our products and installation process
Keep customers informed of project progress, scheduling changes and completion dates
Arrange and coordinate follow-up visits where required
Maintain a professional, friendly and solutions-focused approach at all times
Administration
Maintain accurate project records, internal notes and documentation
Record project variations, customer requests and additional works
Update internal systems to ensure project information remains accurate and current
Produce and maintain installation documentation and project records
Ensure all relevant information is available to internal departments and installation teams
Procurement & Logistics
Order installation materials, components and equipment from suppliers
Monitor deliveries to ensure materials arrive in line with installation schedules
Resolve supply issues and source suitable alternatives where necessary
Coordinate stock and equipment requirements with the installation team
Ensure engineers have the correct parts, tools and documentation before leaving for site each day
Engineering Support
Provide day-to-day support to installation engineers
Assist with technical queries and operational decisions
Coordinate remedial works and follow-up visits
Price remedial works, variations and additional customer requests
Help resolve installation issues quickly and effectively while maintaining customer satisfaction
Commercial Responsibilities
Monitor project profitability throughout the installation process
Review labour, material and subcontractor costs against project budgets
Identify opportunities to improve efficiency and profitability
Highlight commercial risks or overspends to management and recommend appropriate action
Site Visits & Meetings
Occasionally attend pre-installation site surveys and customer meetings where an office representative is required
From time to time, visit installation sites to assist with resolving queries, assessing issues or supporting installation engineers
Carry out occasional post-installation inspections or customer follow-up visits where required
Report findings from site visits and ensure any actions are communicated and followed through
Post-install site inspections to ensure all deliverables have been carried out to the appropriate standard
Health & Safety
Promote safe working practices throughout the installation department
Ensure installation teams have the necessary information to carry out work safely
Support compliance with company health and safety procedures and relevant legislation
Raise any safety concerns identified during site visits or project planning
Continuous Improvement
Identify opportunities to improve installation processes, communication and efficiency
Assist in developing and maintaining installation procedures and documentation
Contribute ideas that improve customer experience, project delivery and departmental performance
General Responsibilities
Support the day-to-day running of the installation department
Build and maintain strong relationships with customers, suppliers and subcontractors
Work closely with the sales, production and management teams to ensure smooth project delivery
Maintain high standards of professionalism, quality and customer care
Undertake any other duties reasonably required to support the successful operation of the business
Requirements
Essential
Excellent organisational and time management skills
Strong written and verbal communication skills
Ability to manage multiple projects simultaneously
Good commercial awareness and attention to detail
Confident using modern IT systems and learning new software
Excellent problem-solving and decision-making abilities
Ability to work independently while supporting a wider team
Full UK driving licence
Desirable
Experience within the construction, engineering, manufacturing or home improvement industries
Experience coordinating installation or service teams
Knowledge of aluminium gates, gate automation, access control systems or related products
Experience interpreting technical drawings and specifications
What’s In It For You
Salary of £32,000 to £38,000 depending on skills and experience
Monday to Friday 8:00 am to 5:00 pm, with flexibility to meet business requirements
Occasional travel to customer sites will be required
