Description:

Providing administrative support to assist in the maintenance and upkeep of the EHV and Group Integrated Management System (IMS) with input in contributing to continual improvement of business management systems and procedures.

Head Office based (Milnrow, Rochdale)

DUTIES INCLUDE:

To familiarise yourself with the IMS located on ShareFile, the sections and the documents retained within each section.
Be responsible for the Document Control Process and to management the upkeep of the Document Control Register and the issue status of the process, procedures forms policies etc retained in the IMS.
To update on a monthly basis the standard reporting KPIs, registers and tables to ensure the EHV Division is provided with real time performance information.
To maintain the Communications, register to ensure business critical communications are recorded, circulated and retained.
To maintain the Approved Suppliers and Subcontractors List
To maintain the Internal Audit Workbook including the internal audit schedule completing Internal Process Audits and the management of the Non-Conformance Reports (NCRs), Observations etc.
To organise and chair monthly IMS Review Meetings to ensure the EHV Division Senior Management Team are informed about IMS performance.  
General administration duties to support the Projects Divisions needs with focus on continual improvement of systems and procedures.
Plus, such other duties (if any), which the company may deem appropriate, from time to time.
KEY SKILLS NEEDED:

Excellent IT skills.
Outlook 365, Word, Excel, Power Point, Visio, and MS Teams essential.
Confident communicator (telephone, e-mail, Teams, face to face)
Self-motivated, with excellent time management.
Strong organisational skills with the ability to prioritise own workload and deal with conflicting priorities.
Flexible to meet business demands.
Keen and willing to learn.
Good customer service skills
Show initiative and demonstrate they can think for themselves and act when necessary. 
QUALIFICATIONS:

Grade 4 in GCSE English Language and Maths (or equivalent) is required.
ISO 9001 Internal Auditor Course or similar is beneficial to the role.
EXPERIENCE:

Previous construction, utilities, or projects experience and/or previous administration experience is desirable.
Previous experience of working with QA/IMS processes and procedures
JOB SUPPORT (MANAGEMENT & TRAINING)

Training will be given to ensure that all of the activities listed above are understood and completed.
Internal audit training will be provided to ensure competency.
You will be assigned a mentor to ensure you are fully supported when undertaking the role of the IMS Administrator.
Salary depending on experience 23k – 27k.
