HR Administrator
Ipswich
Temporary position until 2027
3/4days a week 28-35hours- flexible
£30,000pa FTE
We are seeking a proactive and organised HR Administrator to support the day-to-day operations of the HR function. This is a varied role that will provide administrative support across the employee lifecycle, including recruitment, payroll administration, HR systems management, and employee records.
The successful candidate will play a key role in ensuring HR processes run efficiently while delivering a high level of service to employees and managers across the business.
Key Responsibilities
HR Administration
Maintain accurate employee records and HR databases.
Prepare employment contracts, offer letters, and onboarding documentation.
Support new starter, probation, and leaver processes.
Ensure all employee files remain up to date and compliant with GDPR requirements.
Respond to general HR queries from employees and managers.
Assist with preparing reports and management information as required.Recruitment & Talent Support
Create and post job advertisements across various job boards and recruitment platforms.
Coordinate recruitment campaigns and candidate applications.
Schedule and organise interviews between candidates and hiring managers.
Maintain communication with applicants throughout the recruitment process.
Support onboarding activities for new employees, including induction arrangements and right-to-work checks.Payroll Support
Assist with the preparation and submission of monthly payroll information.
Maintain accurate records of employee absences, holidays, and changes to employment details.
Liaise with payroll providers to ensure employee data is accurate and submitted on time.
Support the administration of pensions, benefits, and salary-related changes.
Handle payroll queries and escalate issues where necessary.Data Entry & HR Systems
Accurately enter and maintain employee data within HR and payroll systems.
Produce HR reports and analysis as required.
Monitor data quality and ensure records are maintained to a high standard.
Support system updates, audits, and data cleansing activities.Compliance & Employee Records
Ensure HR documentation meets legal and company requirements.
Support HR audits and compliance checks.
Maintain confidential employee records in accordance with company policies and data protection legislation.
Skills & Experience
Essential
Previous administrative experience, ideally within HR, payroll, or an office environment.
Strong attention to detail and high levels of accuracy.
Experience of data entry and maintaining records.
Excellent organisational and time management skills.
Strong IT skills, including Microsoft Office, particularly Excel and Outlook.
Ability to manage confidential information with discretion.
Excellent communication and interpersonal skills.Desirable
Previous experience supporting payroll processes.
Experience using HRIS or payroll systems.
Working knowledge of employment legislation and HR best practice
