Job Title: HR Administrative Assistant

Location: Dumfries 

Salary: £26,000 (Hourly Paid - £13.35 per hour)

Hours: Mon-Fri - 08:30 - 16:30 (37.5 hours)

Contract: Temporary, Ongoing

Talento Group is thrilled to be recruiting for our client, a longstanding company in Dumfries, who is looking for an HR Administrative Assistant to join their dynamic team. The successful candidate will provide essential administrative support to the UK HR Lead, handling a variety of tasks to ensure smooth HR operations.

Please note - This is a temporary ongoing role, and there may be an opportunity for this be a permanent position after 6 months.

Responsibilities include:

Telephone Enquiries: Manage incoming calls transferred by the Security Team and follow up on enquiries.
Administrative Tasks: Complete tasks using Microsoft Word, Excel, PowerPoint, Outlook, and other Company IT systems.
Diary Management: Schedule meetings, arrange diaries, and order catering as needed.
HR Support: Provide administrative support and basic HR advice to employees and managers in line with Company procedures.
Time Coordinator Role: Update systems, maintain accurate absence and holiday records.
Recruitment Assistance: Organize interviews, onboarding arrangements, and candidate correspondence.
Data Management: Perform data analysis and reporting using IT systems.
Project Support: Contribute to HR project work and meetings as required.
Operational HR Service: Collaborate with the HR Service Centre (HRSC) in Spain to deliver HR services.
Training and Guidance: Assist managers with training on time and attendance systems and HR processes.
Safety Compliance: Adhere to Company rules, the Site Safety Policy, and participate in safety training programs and audits.
Housekeeping: Maintain safe and tidy work areas and equipment.
Experience Required:

Administrative Skills: Previous experience in an administrative role using IT software and systems.
HR Experience: CIPD Qualification or at least 1 year of previous HR experience.
Communication Skills: Excellent interpersonal, verbal, and written communication skills.
Data Protection: Knowledge of data protection legislation and confidentiality.
Critical Thinking: Strong problem-solving and critical thinking skills.
Organisational Skills: Proficiency in data analysis, planning, and organizing.
Project Management: Ability to manage projects and accomplish goals.
IT Proficiency: Skilled in using Microsoft applications, databases, spreadsheets, and other Company IT systems.
Professionalism: Ability to assess and prioritize work and actions professionally.
Positive Attitude: Consistently positive about the company and its core values.
Payroll Knowledge: Experience with payroll is desirable but not essential.

Working Arrangement:

Hours: Monday to Friday 08:30 to 16:30 with a half-hour lunch break.
Location: On-site at the Dumfries premises.
Availability: Open to full-time candidates.
