Job Title:

Front of House / Facilities Assistant (Cardiff)

The Facilities Assistant is responsible for delivering an exceptional Workplace Experience and Front of House service, ensuring a professional and welcoming environment for employees, visitors, and contractors.

Role Summary:

Act as the first point of contact for workplace and facilities-related enquiries, delivering an excellent employee and visitor experience.
Provide a professional meet-and-greet service for visitors and notify hosts of their arrival.
Process all new starters and leavers through the access control system, keeping records up to date.
Monitor the Facilities Team inbox, resolving queries or escalating issues appropriately.
Manage meeting room bookings, catering requests and room set-ups as required.
Manage incoming and outgoing mail, including distribution, processing, and franking services.
Support with raising POs, invoicing, making payments and reconciling company credit card transactions.
Manage archive storage requests.
Manage printed stationery requests.
Assist with group hotel, travel and external meeting venue bookings.
Organise couriers as required.
Coordinate and manage car parking arrangements.
Manage employee locker allocation and records.
Maintain security for the site by managing all access in and out for colleagues and visitors, including issuing visitor passes as required.
Manage the visitor tracking system and notify Building Management with a daily visitor list.
Support the Facilities Specialist in maintaining statutory compliance across the site.
Support the Facilities Specialist to coordinate contractor activities and ensure adherence to site safety requirements.
Assist with planned preventative maintenance and reactive maintenance records.
Support Health & Safety inspections, audits, and risk management activities.
Support Business Continuity and Disaster Recovery planning activities.
Act as Fire Warden and support emergency evacuation procedures.
Coordinate DSE assessment requirements and workplace adjustments where appropriate.
Support other sites when required.
Contribute to the business Energy & Sustainability plans by sharing ideas and implementing improvements.
Experience Required

Communication Skills
Ability to comprehend and interpret instructions, short correspondence and memos, and ask clarifying questions to ensure understanding.
Ability to write routine reports and correspondence.
Ability to respond to common enquiries or complaints from clients, co-workers and supervisors.
Ability to effectively present information to an internal department and/or large groups of employees.
Organisation & Planning
Strong organisational skills with the ability to prioritise workload, manage competing demands and meet deadlines.
IT Skills
Intermediate skills with Microsoft Office Suite products such as Word, Excel, PowerPoint, SharePoint and Outlook.
Comfortable with and embracing of new technologies and digital tools, including apps, databases, work order management systems, social networking platforms, cloud technologies, handheld mobile technologies and communications tools.
Results Oriented
Ability to achieve business goals, with a concern for working well, surpassing standards of excellence and a passion for challenges.
Customer Focused
Develop strong customer relationships by listening to and satisfying customer needs.
