Location: Northampton
Salary: Competitive, depending on experience
Contract: Permanent
Hours: Monday to Friday

About the Role

We are working with an established civil engineering contractor based in Northampton who are looking to appoint a Fleet Administrator to support the efficient day-to-day management of their vehicle and plant fleet.

This is a varied and hands-on administrative role, ideal for someone who is highly organised, proactive and enjoys working in a busy operational environment. You will work closely with drivers, site teams, subcontractors, suppliers and internal departments to ensure the company's fleet remains compliant, well maintained and efficiently managed.

Key Responsibilities

• Maintain accurate records for all company vehicles, plant and associated equipment.
• Coordinate vehicle servicing, MOTs, inspections, repairs and maintenance.
• Monitor fleet compliance, ensuring all vehicles and equipment meet relevant legal and company requirements.
• Maintain accurate records of vehicle documentation, including insurance, tax, MOTs and servicing.
• Schedule routine maintenance and ensure remedial works are followed up and completed.
• Liaise with garages, dealerships, hire companies and other external suppliers.
• Arrange vehicle and plant hire where required.
• Monitor vehicle defects and ensure these are reported, recorded and resolved promptly.
• Maintain accurate fleet databases and update records accordingly.
• Assist with the management and monitoring of fleet-related costs and invoices.
• Process and maintain documentation relating to vehicle movements, inspections and repairs.
• Support the wider operations team with fleet and transport-related administration.
• Ensure drivers and site teams are kept up to date with relevant fleet requirements.
• Produce regular reports and provide updates to management on fleet status and compliance.
• Assist with the onboarding and offboarding of vehicles and equipment.
• Help ensure company vehicles and equipment are available and fit for operational use.

About You

We're looking for an organised and detail-focused administrator who is comfortable managing multiple priorities and working to deadlines.
Experience within fleet administration, transport, plant, logistics, construction or civil engineering would be advantageous, although candidates with strong administration experience and a genuine interest in developing within fleet management will also be considered.

You will ideally have:

• Previous experience in an administrative or coordination role.
• Excellent organisational and time-management skills.
• Strong attention to detail and accurate record-keeping skills.
• Good communication skills and the confidence to liaise with internal teams and external suppliers.
• The ability to prioritise a busy workload and manage multiple tasks simultaneously.
• Good IT skills, particularly Microsoft Excel and other Microsoft Office applications.
• A proactive approach with the ability to identify and resolve issues.
• The ability to work effectively in a fast-paced operational environment.
