About the Business
An exciting opportunity to join a well-established services business based in Marston Green as a Finance Administrator, paying £28,000 – £33,000 per annum. This is a genuinely rewarding role within an organisation whose work makes a real difference to people’s lives, giving you ownership of the claims and payments activity behind a major funded programme. You’ll lead a small, close-knit team and work closely with a supportive finance leadership team who are keen to help you develop.
Main Duties:
As a Finance Administrator, your main duties include:
* Leading and developing a small claims and payments team, making sure everyone knows the standard expected on accuracy, output and deadlines
* Planning and sharing out the team’s workload so that every claim is processed correctly and on time
* Keeping a close eye on capacity, quality and productivity, stepping in quickly to tackle backlogs, mistakes or staffing pressures
* Coaching and supporting the team through regular feedback, handling performance fairly and building a culture of ownership and ongoing improvement
* Making sure the team is properly trained, with clear procedures, guidance and points of escalation to rely on
* Overseeing day-to-day claims and payment processing, reconciliations and the related finance admin, ensuring everything sits within the agreed remit
* Making sure every team member follows the same checks, reviews and segregation of duties
* Investigating significant queries, exceptions and anything out of the ordinary, resolving them or passing them up through the proper governance channels
* Making sure all activity is backed by complete, accurate supporting evidence that is stored correctly
* Overseeing the production of management information, financial reports and programme updates, making sure they go out on time
* Keeping records accurate, current and audit-ready at all times, supporting both programme and financial assurance needs
* Monitoring how well processes and controls are working, tracking exceptions and making sure corrective actions are followed through
* Getting the team ready for audits, internal reviews and assurance visits from funding bodies
* Working with colleagues to spot control gaps, repeat errors and new risks, agreeing sensible ways to deal with them
* Handling financial, payroll and personal data securely and with complete confidentiality
* Partnering with finance, compliance, operations, audit and shared services colleagues so the process runs smoothly from start to finish
* Building strong relationships with funders, employers, partners and other external contacts through the agreed channels, ensuring queries are handled professionally and closed off promptly
* Keeping senior colleagues informed on progress, team capacity, risks and exceptions, flagging any decisions needed in good time
* Analysing trends and recurring problems to make claims and payment processing more accurate, efficient and consistent, and leading the rollout of agreed improvements to processes, systems and controls
