FM Manager – Facilities Management

Kent

What you will be doing:

An opportunity has arisen for a FM Manager to join the team within our Facilities Management Business.

Ideally, you will based in or around the Kent area and will have the opportunity to travel across multiple sites/projects in the Region.

Manage the specific delivery of those Hard and Soft FM Planned and Reactive Services to the Kent EHFA project as obligated to GTFM under the Contract in respect of financial, procedural and operational obligations via GTFM directly employed staff and approved sub-contractors. 

Develop, manage and regularly review the Planned Preventative Maintenance module of the CAFM system to the project.

Develop and maintain comprehensive asset registers as required to ensure the project assets are identified and maintained in line with Statutory Compliance obligations. Legislation, Good Practice and the Contract Specification.

Manage the receipt of tasks reported via the West Kent Housing Association (WKHA) and the subsequent reporting of actions related to the tasks to the GTFM Customer Service Centre (CSC) and follow through the same to completion.

Ensure that all contractual KPI’s related to the service delivery to the project are met. 

Manage the preparation and delivery of any Variations and Additional and Void Works generated in the project from inception to completion in conjunction with the GTFM Commercial Team whenever such issues arise. 

Manage the preparation and delivery of GTFM’s Lifecycle responsibilities to the Kent EHFA project in accordance with financial, procedural and operational obligations via GTFM directly employed staff and approved sub-contractors from inception to completion in conjunction with the GTFM Commercial Team.

Identify and implement improvements related to resources and efficiencies in service delivery to the project.

Participate in all internal and external audits identified by GTFM, the Client or external parties 

Manage relevant induction and training for new and existing staff including approved GTFM supply chain partners and monitor regular refresher training for all staff including safety training.

Manage accurate records and details for contractual and GTFM procedures as required.

Manage and participate in out of hour’s issues and emergencies as required.

Ensure compliance with GT Risk and Quality Management policies and procedures. 

Develop and manage a programme of Health and Safety inspections across the facilities and services and participate in scheduled GT site inspections and safety reviews ensuring that all Health and Safety Regulations and GT Health and Safety Standards are adhered to at all times.

Record details of shortfalls and identify improvements and report and document any Health and Safety Environmental incidents or non-compliances in line with GT Policies and Procedures

Ensure compliance with Clients and GT Policies related to Safeguarding of Children and Vulnerable Persons.

Monitor and update the GTFM Compliance Tracker related to the Kent EHFA project and participate in regular audits of the same to ensure the project meets the target set by GTFM. 

Manage and develop the day to day working relationships with Kent County Council representatives, the Kent EHFA SPV and West Kent Housing Association (WKHA) to ensure standards of service delivery are monitored and responsive to users’ needs and react swiftly where there is an issue of safety in respect of visitors, staff and users of the facilities.

Develop and enhance working relationships with the West Kent Housing Association (WKHA) on site representatives to the project as required.

Participate in meetings with representatives of Kent County Council, the Kent EHFA SPV and West Kent Housing Association (WKHA) and relevant user groups as required and produce effective, timely and relevant communications including minutes of meetings, monthly contract reports and statistics as appropriate

Manage formal and informal meetings with GTFM specialist sub-contractors engaged in the delivery of the Services to include the production of records related to such meetings and the receipt of all required Statutory Documentation to be filed in the project SharePoint filing system

In conjunction with the GTFM Commercial team engage in the procurement of sub-contractors so as to develop a competent and strong supply chain for the delivery of reactive and planned maintenance activities across the range of services required by GTFM.

Engage in the development and implementation of business plans and financial budgets related to the delivery of the Services 

Manage project budgets in conjunction with the GTFM Commercial Team to meet agreed/set targets. The post holder will be required to manage the provision of best value at all times.

Participate in Business Development Activities as directed

About You:

Relevant qualification in Facilities Management, Building, Engineering, or a related field.

Proven experience in Facilities Management within a PFI environment.

Strong leadership and management skills.

Excellent communication and interpersonal skills, with the ability to interact effectively with internal and external stakeholders.

Solid understanding of Facility Management principles, practices, and guidelines.

Proficiency in Computer Aided Facility Management (CAFM) and other relevant software applications.

Strong analytical and problem-solving abilities, with a focus on continuous improvement.

Ability to prioritise tasks and meet deadlines in a fast-paced environment.

Willingness to work flexible hours and respond to emergencies outside of regular business hours, as needed
