Description:
We are looking for a Facilities Coordinator to join our client's team in Mayfair. We are looking for someone who is committed, experienced with facilities, and can use their initiative.
Job Title: Facilities Coordinator
Duration: Monday 17th June Start (Ongoing for now, Monday- Friday)
Pay: £13-15 an hour
Location: Mayfair
The role is based at in a multi-tenant building in London Mayfair area. The Facility Coordinator will be based on the reception desk and perform a number of key customer-facing, meet & greet and general office administrative support roles.
Front desk / reception duties
General administrative duties; notably the management of Stocks, Suppliers, Catering as well as maintaining the Office Budget spreadsheet
Monitoring of the PPM calendar and liaison with the Maintenance service provider to ensure reactive and PPM jobs are completed and completed to specification
Manage on-site housekeeper
Manage selected staff diaries and calendars to coordinate meetings and appointments
Visitor booking and arrival notification to host
Raising and following up on work orders with vendors
Approval, verification and processing of vendor invoices
Applying corporate processes and procedures
Maintain highest level of customer satisfaction index by continuously meeting commitments for quality standards
Monitor and manage office workplace to highest standards
Collect and distribute incoming mail and arrange outgoing mail / messenger / courier services
Fault reporting and organising repairs with the maintenance company.
In-house event management and coordination of event services
Monitor room bookings ensuring rooms are serviced between meetings
Fire marshal duties in evacuation situation
Supporting in-office events and business functions with VIP guests
Visitor bookings via the building management system (training provided)
Print/issue ID card for permanent staff and visitors
Prepare and coordinate data and approvals starting from RFQ, Quotations, for online purchases and non online.
Arrange office catering with various caterers (timing, set up, pick menus etc), taking into account dietary needs
Perform any other duties required to support the team, activities and overall strategic directions and in order to ensure smooth flow of operation.Skills & requirements:
Experience within a Facilities/ Office front desk/ Administrative position or similar
Reliable and strong time management skills
Strong experience in a similar role
Excellent organisation and multitasking skills
