Job Title: Facilities Management Coordinator
Overview:
Join our dynamic Facilities Management team as a Facilities Management Coordinator for a large FM business. We are seeking a highly organised and proactive individual to oversee contractor management, liaison with stakeholders, maintain records, and support various facets of facility operations.
Key Responsibilities:
Contractor Management:
* Conduct contractor site induction, ensuring compliance with RAMS (Risk Assessment and Method Statements), and oversee PM and project work, while maintaining accurate records.
* Issue ATW/PTW (Authority to Work/Permit to Work) as required, adhering to safety protocols.
* Conduct on-site checks of contractors according to established procedures, promptly addressing any issues.
* Coordinate with site and contractors to schedule attendance dates and ensure timely completion of tasks.
Liaison:
* Serve as the primary point of contact for the site, handling service requests and additional works.
* Act as the sole representative on-site, demonstrating a high level of self-sufficiency with support from the FM and wider account team.
* Support continuous improvement of FM service and participate in audits as necessary.
* Host visits related to additional works and other visitors, facilitating communication of PM/works activities to the site team.
* Attend site meetings and integrate seamlessly within the client site team, serving as a liaison to the FM Manager and wider account support team.
Record Management:
* Maintain site logbooks, including QHSE, contractor performance, contractor service, and site information
Reporting:
* Gather information for Monthly Business Review Meetings and Monthly Cleaning Reviews.
* Submit KPI data and act as the local contact for emergency/urgent requests, following appropriate escalation procedures.
Contract Support:
* Handle purchase order requests and receipting, ensuring efficient procurement processes.
* Obtain competitive supplier quotations to support decision-making and cost-effectiveness.
Self-Perform Minor FM Works/PMs:
* Depending on skillset and experience, self-perform minor FM works and PMs to contribute to overall operational efficiency
