MPI have a requirement for a Facilities Coordinator to be based in Stafford, ST18 OAY

Approx. 6-month contract with potential for a further 6-month extension

This role is deemed to be In-scope of IR35

Current Pay rates:

Basic Days - £16.03 per hour PAYE

JOB PURPOSE

To provide administrative support to Estates & Facilities functions including the Facilities Management service provision through contracted services.

To provide administrative support for the Greening Government Commitment initiative, liaising with the relevant stakeholders, ensuring regular data is obtained from energy, water and waste sources, resulting in monthly reporting on target position within MOD.

RESPONSIBILITIES OF THE JOB

Attendance at regular meeting with contractor to ensure gaps in service and complaints are raised and actioned accordingly.  

Assist with any change requirement requests to ensure service variations are raised formally, costs are added/removed from contract and any ongoing maintenance included in contract.

Carrying out, monitoring and validating the site inductions for contractors as and when required. Ensure the Contractor induction register is kept up to date.

Provide advice and guidance in Business Continuity Planning activations. Participate in Business Continuity workshops and exercises when required.
Co-ordinate JAMES (Joint Asset Management and Engineering Solutions) planned maintenance ensuring documentation is raised in a timely manner on JAMES MOD owned assets across the Sealand site.
Assist and support with planning of Company events, conferences and VIP visits across the organisation as and when required.

Ensure all requested RCAs are raised in a timely manner, to support the Facilities

Act as the Facilities focal point for the following.

Planned maintenance and emergency work for the site water main infrastructure, through MOD Project Aquatrine.

Planned and emergency works on the site gas main infrastructure. Oversee the delivery of both planned and reactive works.
The management of the scrap metal and WEEE waste collection process.
Provide Facilities knowledge and advice on facilities related issues and provide support and guidance at both internal and external meetings.
Raise job requests with FM provider for both hard and soft services

Assist Facilities staff with projects and any task that may be deemed necessary by the Head of Estates and Facilities.

REQUIRED KNOWLEDGE AND SKILLS

Good knowledge of Facilities Management.
Problem solving skills required in order to make decisions on the information available.
An ability to analyse and interpret information quickly.
Experience in Project management to enable the management of multiple contract issues.
Able to prioritise workload with demands of role and in line with Corporate Plan.
Effective at multi-tasking within a busy environment.

INTELLECTUAL DEMANDS OF THE JOB

To use own judgement when assessing contract issues.
Must be able to employ own research to actively keep up to date with contract variations.
There is an element of emotional demand for this role in that the job holder needs to be able to make quick decisions and interpret complex data.

COMMUNICATION DEMANDS OF THE JOB

The job holder will communicate with all levels of staff across the organisation from shop floor operators to senior managers. 

Regular contact will be required with the Head of Estates & Facilities.

PHYSICAL DEMANDS

Although there are no physical demands of this role there is a requirement to sit at a desk for a long period of time analysing information.

WORK ENVIRONMENT

In a busy office environment, which can be noisy at times. 
You may be required to inspect plant and boiler rooms where space may be confined.

REQUIRED EDUCATION AND EXPERIENCE

Previous experience of working within a busy Facilities Management department especially working on an outsourced contract.
ILM Level 3 Certificate or equivalent NVQ (Desirable)
