Job Title: Facilities and Assets Office Manager
Salary: £19.75 per hour
Hours: 36.25 hours per week
Location: Lisburn
Duration: 6 months with possible extension
Key Responsibilities:
> Support and advice to the management team in relation to the financial management of the service. Provide updated information to contribute to the development of, and working within agreed budgets and finances to deliver, service priorities. Ensure budgets are effectively managed, implemented and adhered to across the Department.
> Collate financial information into the accruals system for cross checking revenue expenditure of the TSSCs against budgets.
> Development and implementation of additional financial reports as and when required – to be provided ad hoc, weekly, monthly or annually.
> Update monthly financial reports through gathering data from the Helpdesk defect reporting system and from the TSSCs.
> Administrative support to the management team to update progress in relation to audit reports. Ensure recording of actions taken to implement the recommendations of the audit reports.
> Maintain the Business Case and Post-Project Evaluation Registers.
> Represent the Department at meetings of the Corporate Information Governance group and provide update to the Department.
> Development and maintenance of the Department’s Sharepoint management information system.
> For lease management arrangements, ensure dates are met, costs are identified, raised and delivered and develop draft Business Cases and Strategic Outline Cases in line with PEL guidelines and submit on approval.
> Develop innovative and creative solutions.
Qualifications/Experience:
Essential
> Possess a minimum of HND or equivalent qualification in a relevant subject* e.g. Business, Finance or Management.
AND
> Have a minimum of 2 years’ recent** experience of working in a demanding office environment at a supervisory level
OR
> Have at least 3 years’ recent** experience of working in a demanding office environment at a supervisory level.
> Demonstrable experience of providing administrative solutions to support the effective and efficient running of a business unit.
> Demonstrable experience of developing business cases, assisting in the delivery of budgets, contracts, procurement and regular reporting within a large organisation.
> Can demonstrate:
1. Excellent planning, organisational and prioritisation skills and attention to detail
2. Good communication skills (both oral and written)
3. Strong customer orientation 4. Ability to work under pressure of multiple deadlines
> Competent in the use of Windows and other Microsoft applications
