EFAB is a leading Engineering Construction firm based in the UK, specialising in delivering complex projects across various sectors.

Purpose

The Expeditor plays a crucial role within our procurement team, ensuring timely delivery of materials and equipment to support efficient project execution. They are responsible for coordinating with suppliers, internal teams, and logistics partners to streamline the procurement process and minimise project delays.

Overseeing all expediting activities, the Expeditor is responsible for coordinating expediting visits to facilities where supplier progress is monitored and verified in person, with the main objectives being to ensure that all expediting activities are managed in accordance with company policies, and to maintain a high standard of transparency and confidentiality.

Main Accountabilities & Competencies

* Establishing and monitoring fabrication, assembly and delivery schedules for equipment and materials to ensure delivery as required by the current project schedule.

* Ensuring that sub-suppliers are expedited from manufacturing point, where their delivery governs the prime supplier’s performance, Expediting supplier data submission as per document registers, as well as production of materials and equipment.

* Investigating all delays of supplier’s activities and instigate solutions or alternative recommendations to the Buyer / Head of Procurement / Project Manager, Coordinating and monitoring freight forwarder’s activities, assisting as necessary in the preparation of required shipping documents.

* Reporting the status of delivery and expediting results by means of a formal issue of action tracker to agreed programme tracker, Assisting the programme team where required to ensure suppliers adhere to our deadlines.

* Raising and issuing third party expediting assignments as and when required, in accordance with company procedures, Evaluating expediting performance of third-party expediting services.

* Travelling as required to visit prime and sub suppliers, preparing visit reports as requested, Live updates to programme team where appropriate, Attending weekly programme meeting where needed.

* Intervening and resolving issues where appropriate or where seniority dictates, Participating in the identification of under-performing vendors and establishing corrective actions for recovery, advising the Head of Procurement.

* To be accountable for the delivery of KPIs for assigned packages, Monitor and track the status of purchase orders, proactively identifying potential delays and implementing corrective actions.

* Collaborate with stores teams to maintain accurate stock levels and ensure timely availability of materials for projects, Maintain comprehensive records of purchase orders, delivery schedules, and supplier communications, ensuring compliance with company procedures and industry regulations.

* Serve as a central point of contact for internal stakeholders, providing regular updates on procurement status and addressing any concerns or inquiries promptly, Identify and address procurement-related issues swiftly, utilising effective problem-solving skills to minimise impact on project timelines.

* Work closely with quality control teams to verify the quality and specifications of delivered materials, taking appropriate action in case of discrepancies, Continuously seek opportunities to optimise procurement processes, enhance efficiency, and reduce costs without compromising quality or project timelines.

Commercial & Risk

* Inform project manager / line manager of potential risks identified in a timely manner, Work within allocated CTR or allocated hours where applicable, Demonstrate clear understating of relevant commercial and budgetary landscape, Work to agreed plans, using initiative to identify improvements/savings.

* Function as an ambassador for the Company, always presenting the right image to existing and potential clients, To attend meetings and forums, representing the Company, Forge links and establish communication with relevant colleagues and other stakeholders.

* Inform line/project manager of potential project risks identified in a timely manner, Working within the Company’s ISO9001:2008 quality systems, Responsible for own safety at work, Consideration to be given to others in working environment.

* Adhere to Company and client health and safety procedures, Comply with – and work to - relevant procedures, policies, processes, and standards, to meet the required level of quality in all outputs.

* Zero non-conformances to all Company, client, and project specific quality and safety plans, Adherence to PPE requirements, where applicable.

Technical Requirements

* Keep up to date with latest industry and functional standards, technology, and norms.

* Be familiar with all relevant systems, A good understanding of the availability and use of all relevant electronic tools and software.

* Full awareness and understanding of relevant legislation and standards, and their practical application, Awareness and understanding of all relevant Company Policies, processes, and procedures.

Knowledge, Skills, Experience & Qualifications

* Previous experience in a procurement or supply chain role within the engineering construction industry, with a strong understanding of procurement processes and project execution requirements, Excellent organisational abilities with the capacity to prioritise tasks, manage multiple projects simultaneously, and meet deadlines in a fast-paced environment.

* Exceptional communication skills, both written and verbal, with the ability to effectively liaise with internal teams, suppliers, and external stakeholders, Strong problem-solving skills with a proactive approach to identifying issues, analysing root causes, and implementing timely solutions to minimise project disruptions.

* Meticulous attention to detail with a focus on maintaining accurate records, verifying product specifications, and ensuring compliance with quality standards, A collaborative mindset with the ability to work effectively within cross-functional teams, fostering positive working relationships to achieve common goals.

* Flexibility to adapt to changing priorities and unforeseen challenges, demonstrating resilience and resourcefulness in overcoming obstacles to project success, Familiarity with procurement software systems or enterprise resource planning (ERP) platforms, preferably with experience in using them to manage procurement processes and track orders.

* Knowledge of relevant regulations, standards, and best practices within the engineering construction industry, particularly regarding procurement and supply chain management, Negotiation skills with the ability to engage with suppliers to secure favourable terms, expedite deliveries, and resolve contractual issues effectively.

* Demonstrated commitment to personal and professional development, actively seeking opportunities to enhance skills and knowledge relevant to the role, People skills, Honesty, integrity, and reliability, High diligence.

* Excellent computer skills, including MS Office, particularly Excel, Word, and Outlook, Good presentation skills (PowerPoint), Understanding of data privacy standards.
