About the role
As PA you will provide a high level of efficient and professional administrative support, enabling the Managing Director and other directors to be productive with their time. There may also be a requirement to support members of other teams from time to time.
Main Duties;
· Diary management - pro-actively manage a busy diary, make appointments and arrange meeting rooms.
· Telephone liaison - answer client queries, take messages and field calls where appropriate.
· Manage incoming communication and ensure all mail is processed accurately and timely.
· Organising and making travel arrangements when necessary and ensuring that all work activities are scheduled effectively.
· Communicate daily with Director(s), ensuring high awareness of current priorities and whereabouts.
· Liaise with various internal and external employees and stakeholders of the business.
· Project management, liaising with and supporting the Leadership Team on projects, meetings etc.
· Networking internally – building relationships with internal stakeholders.
· Supporting the MD with internal communications and video content creation.
· Process expense claims where necessary.
· Assist with the organisation of, and attend, client and internal events, including Board Meetings, Strategy Days, social events and the Annual Conference.
· Prepare and distribute agendas.
· Typing of general correspondence.
· Typing, amending, formatting, and binding reports.
· Coordinate reports for managers' meetings.
Essential person specification;
· Full, UK driving licence.
· Eligibility to work in the UK.
· IT skills (Word, Excel, MS Outlook and Power Point).
· Previous administration experience.
· The ability to forge and maintain good working relationships with customers.
· Well articulated, with excellent communication skills to all levels of staff.
· Excellent organisational skills and exceptional attention to detail.
· Ability to priorities and act on own initiative.
· Able to work to deadlines and have a flexible approach.
· Confident, friendly and assertive.
· Understands and appreciates the importance of being discrete and confidential.
· Team player who deals effectively with colleagues and clients.
Hours: 37.5 hours Monday – Friday (Will Consider Part Time)
