Executive Assistant To Global Director

Reporting to: Head of Region

Supporting the Director in her regional & UK responsibilities.

* Managing Information Flow:

* Handle emails, phone calls, and other communications in a timely and accurate manner.

* Prioritize and organize information effectively.

* Provide task management to ensure tasks are actioned within deadlines

* Act as a liaison between internal/external stakeholders

* Provide administration to ensure governance, legal and compliance adherence

* Calendar Management:

* Manage calendar, schedule meetings, appointments, and business events.

* Maintain regular meeting schedule

* Prepare agenda/reports/documents and PowerPoints for meetings

* Managing communications post meeting, including status reports on open actions

* Supporting in coordinating activities of the Regional Committee

* Travel and Accommodation Arrangements:

* Make travel arrangements (flights, hotels, etc.) produce trip itinerary and associated documentation

* Expense Tracking:

* Track and submit daily expenses and prepare reports

* Manage information for internal and external communication

* Drafting communications to the Regional and UK teams

* Strategic analysis for the Region, preparing presentations, communicating and updating strategic measures

* Meeting Support:

* Take minutes during meetings.

* Perform general administrative tasks as and when required

Requirements and Skills:

* Previous experience as an Executive Assistant

* Ability to work under pressure and in a fast-paced environment

* Excellent MS Office knowledge, specifically Excel and advanced PowerPoint skills.

* Outstanding organizational and time management skills.

* Excellent verbal and written communication skills.

* Ability to work independently, apply own initiative and prioritize tasks effectively.
