The role:

The purpose of the role is to act as first point of contact manage all aspects of the MD’s day including booking meetings/appointments, organising their correspondence and running professional errands to enable them to allow them to focus on more important aspects of their job role. To have an understanding and awareness of the MD’s needs in order to make good decisions under pressure.

Ensuring that all employees understand and adhere to the company’s cyber security protocols will be an ongoing educational programme that the office manager will promote across the business.

Some of the tasks that will keep you busy will include:

* Management of the MD’s diary

* Provide assistance to efficiently manage Directors time in support of Business Development requirements

* Diary and email management as requested by Directors

* Research assistance to the Directors in support of maintaining an up-to-date CRM and for ongoing local and international project opportunities

* Project manage and agree timescales, costs and resources needed with Directors

* Liaise with and wherever necessary, negotiate with suppliers for services

* Document preparation as required for Directors and Executive Assistant

* Research business opportunities and provide information in relation to these opportunities to Directors

* Reviewing reports before distribution

* Liaising with Directors and Managers to ensure all business processes are followed

* Liaising with external stakeholders to ensure that processes deliver all obligations

* Ensuring remedial actions are addressed in a timely manner

* Providing research and reports to Directors as required

* Preparing correspondence on behalf of the Directors as required

* Preparing presentations, spreadsheets, flow charts and reports

* Using our CRM to update data and input information
