Job Description: We are seeking an experienced and highly organised Executive Assistant to provide confidential executive assistance and comprehensive administrative support to the Division Director. This role is crucial in ensuring the smooth operation of the directorate and supporting the DST in their daily responsibilities.
Key Responsibilities:
* Act as the first point of contact for colleagues, trustees, and stakeholders.
* Manage the Directors schedule, ensuring briefings, papers, and other relevant information are available.
* Coordinate Executive Leadership Team and Senior Leadership Group (SLG) agendas and associated papers.
* Ensure quality control of SLG papers.
* Administer meetings chaired by the Division, including compiling and circulating agendas, booking rooms, arranging travel, attending meetings, and preparing minutes.
* Provide peer-to-peer EA/PA cover during holidays and absences.
* Organise the Directors workload, manage a high-volume email inbox, and oversee inquiries.
* Prepare letters, board papers, press statements, and presentations, including drafting responses for the Directors approval.
* Process expenses, invoices, and purchase orders.
* Maintain complex diary management and coordinate meetings with complex logistics.
* Arrange national and international travel, including booking tickets, accommodation, and ordering currency.
* Plan and organize regional site visits to ensure the involvement with regional staff and events.
* Arrange weekly meetings and take accurate notes, ensuring that matters arising are dealt with by appropriate individuals within agreed timescales.
