Executive Assistant / Remote / up to £19 per hour
As the Executive Administrative Assistant based at our client, a leading data science company, you will play a crucial role in facilitating the smooth operation of the executive's office. You will handle a diverse range of administrative tasks, requiring exceptional organisational skills, discretion, and attention to detail.
Key Responsibilities:
Schedule appointments and prioritise tasks according to business needs.
Prepare correspondence, reports, and presentations with accuracy and attention to detail.
Maintain organised files, including training records and expense reports.
Coordinate travel arrangements, meetings, and teleconferences.
Manage incoming communications, filtering telephone calls, mail, and email.
Take and distribute internal meeting minutes, ensuring accurate documentation.
Support management in recruitment processes and new employee orientation.
Serve as a liaison between the executive and internal/external stakeholders.
Conduct research, analyse data, and prepare reports with recommendations.
Coordinate IT maintenance and upgrades, serving as a point of contact for technical issues.
Develop and implement administrative procedures to improve efficiency.
Coordinate facility needs, including space and equipment requirements.
Prioritise and respond to routine and urgent correspondence in the absence of the manager.
Collaborate with team members and assist with special projects as directed.
Qualifications:
Proven experience in an executive administrative support role, preferably supporting senior management.
Excellent communication and interpersonal skills, with the ability to interact effectively with all levels of the organisation.
Strong organisational skills and attention to detail, with the ability to multitask and prioritise effectively.
Expert proficiency in Microsoft Office Suite and other relevant software applications.
Ability to maintain confidentiality and handle sensitive information with discretion.
Flexibility and adaptability to changing priorities and deadlines.
Experience coordinating travel arrangements and managing calendars.
Knowledge of administrative procedures and best practices.This is a Part time temporary position, Monday to Friday, 4 hours per day, 20 hours per week.
Up to 12 months temporary contract.
