Dive In Events Administrator and Project Coordinator – 12 Month FTC

The Role as Dive in Events Administrator and Project Coordinator
To support the operational delivery and co-ordination of the Dive In festival including all events. Working alongside the Senior Dive in Programme Manager and Dive in Project Manager. Support the delivery of the Reverse Mentoring Programme and Dive into Insurance (volunteering and outreach programme).
Principal Accountabilities
* Support the day-to-day organisation and running of the Dive In festival, overseeing all aspects of the project coordination to deliver the festival to a high standard and within the allocated budget
* Carry out a number of Dive In administrative tasks including the development of PowerPoint slides, responding to participant and sponsor email queries, sourcing collating and coordinating content to be loaded onto the Dive In festival hub
* Provide support across a full spectrum of event management tasks, including: sourcing and booking venues; liaising with suppliers; event programme and formats; staging and exhibitions; promotion; helping to source speakers; briefing speakers; coordinating market participation; invitations and RSVPs; and evaluation
* Provide support in managing all international locations participating in the festival, including being the key contact throughout
* Research, develop and manage an online events registration hub suitable for the festival including managing the collection of all event information and inputting it into the registration platform
Skills required of the Dive in Events Administrator and Project Coordinator
* Assist the project manager in the development of project management documents such as project plan, budgets, project schedules, etc
* Must demonstrate excellent communication skills, including the ability to convey messages to stakeholders (PR agency, platform managers, Steering group members) and team members
* Ability to quickly develop a network of contacts inside the Corporation and with Dive In stakeholders
* Must have good organisation and prioritisation skills, ability to respond to changing priorities, rapidly assimilate new information and deliver to agreed deadlines
* Ability to work with a global team in a client orientated environment as well as use of discretion and sensitivity in dealing with multiple stakeholders and cultures
* Ability to set expectations, agree objectives and milestones and hold others to account for delivering to time, quality and cost requirements
* Effective decision-making skills and problem solving skills, ability quickly to come up with solutions and strategies
Knowledge required of the Dive in Events Administrator and Project Coordinator
* Understanding of event management best practice processes, mechanisms and the supplier landscape
* Knowledge of working across multiple event formats across multiple jurisdictions whilst maintaining consistently high standards
* Evidence of supporting on the delivery of events, including coordination of multiple stakeholders
