Charity Administrator/PA to CEO
The Catherine McEwan Foundation are looking for a highly motivated Administrator to join their team and be a pivotal part of this growing organisation. The Administrator will be responsible for the effective running of the charity office in order to maximise efficiency and productivity and will be a key part of their daily operations. The successful candidate will play a vital role in enabling the foundation to grow and achieve its aims of improving the lives of those suffering from Crohn’s and Colitis.
As the Administrator/PA to CEO, you will be responsible for:
* Providing effective and efficient administrative support to the CMF team, ensuring successful running of the charity office and its daily business
* Supporting the charity team in the management and administration of its fundraising, finance and marketing functions
* Helping to co-ordinate fundraising activity and events in conjunction with the relevant departmental leads
* Updating and maintaining the CEO’s diary and address book, arranging appointments with the CEO as appropriate
* Liaising with the CEO daily regarding the events of the day and follow up resultant actions
* Liasing with other team members, Trustees, Business Partners and External Consultants to arrange meetings, prepare agendas and to generate associated documentation
* Attending events and exhibitions as requested by the CEO
* The smooth running of the charity administrative function, dealing with enquiries by telephone, email and post, and maintaining filing systems (both electronic and paper)
* Screening telephone calls before passing them to the necessary person, taking and relaying accurate and timely messages and answering any queries where possible
* Dealing with visitors to the organisation in an appropriate and personable manner
* Making any necessary travel arrangements for the team
* Undertaking all methods of administration work as required by the charity team
* Schedule meetings, booking meeting rooms and co-ordinating events
* Leading on the update of contact databases and associated records

* A strong communicator, with the ability to adapt their communicative approach to suit the audience.
* The ability to work within a fast-paced environment, where no two days are the same with conflicting priorities.
* Someone who is willing to be part of a small team, who is hands on and not afraid to get stuck into tasks when required.
* A passionate individual with a keen interest in charitable, third sector organisations
Skills Required
Communication and people skills: Often being the first point of contact, the Charity Administrator will need to possess excellent communication skills. The image of the organisation and its services relies heavily on the ability of the Charity Administrator to communicate effectively and sympathetically with a wide variety of people including staff and supporters.
Time management skills: The Charity Administrator will need to possess excellent time management and organisational skills to be able to deal with a multitude of tasks and a range of priorities.
Information technology skills: The Charity Administrator will need strong IT skills and be competent in the use of most Microsoft Office applications including Outlook, Word and Excel. A working knowledge of PowerPoint and Publisher would also be helpful.
Problem solving skills: The Charity Administrator will need to be practical, proactive, unflappable and be able to use their initiative.
