Description:

Sterling Recruitment Services are looking to recruit an experienced Business Administrator to join our client on a permanent basis based in Billingham.

Working hours: Monday to Thursday 8am - 4.30pm, Friday 8am - 3pm.

Duties and responsibilities:

Reception Duties
Answering telephone calls promptly. Transferring calls. Taking accurate messages and forwarding via email or handwritten. Monitoring telephone sales calls.
Answering intercom and ensuring visitors are dealt with in a timely and friendly manner.
Receiving deliveries and ensuring delivery notes are forwarded onto purchasing department.
Check post box daily. Ensure all private and confidential post is forwarded onto the correct recipient. Open post and distribute to correct department.
Ensure any letters requiring posting are sent promptly
Arrange requests for courier collections and track deliveries.

Hotel Bookings
Ensure requests for hotel reservations are booked promptly following Directors and Managers instructions and are within budget. Parking facilities and travelling time to and from site will also need to be a consideration. Issues with budget or location will require approval from a Director.

General Duties
Support Directors, Managers and Discipline Managers with requests for photocopying, scanning and laminating.
Create job packs as and when required to meet with deadlines as instructed by Directors/Managers
Support Directors and Managers with requests for filing documentation and ensure that documents are filed methodically and are easily accessible. Improve filing systems if required.
Create an area for archiving and ensure documentation is stored, labelled and can be easily accessed and retrievable for audit purposes.
Weekly shopping order
Monitor stationery quantities, in particular copier paper, raise requisition and forward to purchasing department.

Training Support
Provide admin support for training department to ensure operatives hold the correct training cards (instruction to be given) are in date, saved in correct folder and entered onto the training matrix. Ensure training matrix is updated and viewed on a weekly basis and inform discipline managers of any training that is due to expire within three months.
Assist with booking courses if required.

Fuel Store Card Monitoring
Access on a monthly basis company fuel card transaction, download into Excel and monitor usage. Reporting any abnormal transactions to the Directors.

Requirements and Skills
Proven experience as a Business Administrator or similar role
Proficiency in Microsoft Office Suite (Excel and Word)
Strong numerical aptitude and attention to detail
Excellent communication skills, both verbal and written
Good time management and organizational skills
Previous knowledge of working in the construction industry will be desirable
