Our global IT client have an exciting new opportunity for a Business Administrator to provide onsite support to their engineering leadership team in London Paddington on a part time basis (Mondays, Thursdays and Fridays) .
You will work closely with the Business Manager and support the execution of employee programs as well as the engineering community, with a particular focus on workplace/facilities/events.
You will also assist hiring managers onboard/offboard employees, submit PO's and expenses and review budget as well as other adhoc projects (e.g. speaker events).
The ideal candidate for this role will need to be able to change direction quickly within a fast-paced environment. Stellar interpersonal skills, drive, initiative, and proficiency will be key to success. You must also demonstrate good judgement, an ability to maintain confidentiality, set priorities and be confident in handling multiple tasks simultaneously.
Responsibilities include but are not limited to:
Coordinate both virtual and in person events. Taking ownership in areas including catering, venue selection and logistics for internal events, off-sites, speakership series, morale events, large scale meetings and celebration events.
Liaising with partner teams such as IT and Facilities on support areas such as hardware tracking, space planning, office updates and changes and facilities requests.
Daily management of access requests to the building in partnership with the Security team
End to End support for supplier payment including PO creation and Budget Tracking.
Manage end-to-end procurement as well as distribution process for swag items
Cross collaborating, planning, and support including site governance meetings, LT meetings, Focused Initiative groups and other group meetings as needed.
Maintaining Distribution lists, security groups and organisational chartsKey requirements:
Demonstrable experience working in an administrative support/ events management capacity in a busy environment.
Strong attention to detail with strong problem-solving and troubleshooting skills with appropriate urgency
Manage multiple priorities with timely execution of all tasks and excellent follow-up skills
Personable and approachable.This is a fully onsite contract role to start on 8th July (preferably) on a part time basis (3-4 days per week) on an initial contract until June 2025.
The role is paying up to £115 per day (depending on experience), plus you will be entitled to a 5% end of contract bonus (subject to meeting the qualifying criteria)
