London

Hybrid setting of 3 days a week in the office, 2 days remotely

6-month initial contract (Scope to extend)

£45,000 per annum

About the Role:

The Benefits Associate will be responsible for documenting the current benefits administration processes throughout EMEA and APAC. This role requires a detailed and consistent approach to ensure clarity, compliance, and efficiency across regions. The successful candidate will create comprehensive documentation, maintain process consistency, and identify opportunities for process improvements.

Responsibilities:

Document all benefits administration processes in a specific, consistent format. This includes enrolment procedures, claims processing, vendor interactions, compliance activities, and leave management.
Ensure all documented processes follow a standard format to facilitate understanding and consistency across regions.
Regularly review and update process documentation to reflect any changes in policies, regulations, or procedures.
Create detailed process maps to visually represent each step in the benefits administration process, making it easier to identify areas for improvement and ensure clarity for all stakeholders.
Maintain a centralized repository of all process documents and ensure they are easily accessible to the benefits team and other relevant stakeholders.
Continuously identify opportunities for process improvement to enhance efficiency, accuracy, and employee satisfaction.
Establish a feedback loop to gather input from employees and stakeholders on the effectiveness of current processes and suggested improvements.
Compare current processes against industry best practices and benchmarks to identify areas for enhancement.
Stay updated on the latest trends and technologies in benefits administration to introduce innovative solutions that streamline processes and improve employee experience.
Engage in ongoing professional development to stay current with industry trends, regulatory changes, and new technologies.

Skills and Experience:

Comprehensive knowledge of various health and welfare benefits, including medical, dental, vision, disability, and life insurance plans.
Familiarity with retirement plan structures, such as pensions and their regulatory requirements.
Understanding of standard HR concepts, practices, and procedures, including recruitment, onboarding, employee relations, and performance management.
Strong ability to establish rapport and build positive relationships with employees, management, and external vendors.
Capability to network and collaborate effectively within and outside the organisation.
Ability to understand and interpret complex documents, including policies, procedures, and legal regulations.
Skilled in documenting processes and maintaining accurate records for reference and compliance purposes.
Proficiency in Microsoft Office Suite
Capability to create and format professional reports, charts, and graphs to visually represent data and insights.
Strong organisational skills to handle multiple tasks and activities simultaneously.
Ability to track and manage the progress of various activities, ensuring they are completed in the correct order and on time.
High level of accuracy in data entry, record-keeping, and reporting.
Keen eye for detail to ensure all documents and processes are error-free and meet quality standards.
Effective prioritisation skills to manage workload and meet deadlines.
Ability to work independently with minimal supervision, ensuring tasks are completed accurately and efficiently.
Proactive in following up on tasks and ensuring all details are addressed.
Capable of working under pressure and managing time effectively to meet tight deadlines.
Focused on achieving targets and completing tasks within the stipulated timeframe.
Excellent communication skills to interact with employees, management, and external vendors clearly and professionally.
