Job Title: Band 3 HRPTS System Assistant

Location: Armagh

Duration: Temporary position, 6 months initially with possibility of extension

Hours: Full Time. Mon-Fri, 9am-5pm. 37.5 hours per week.

Salary: £11.67 per hour.

On behalf of our client, we are seeking a Band 3 HRPTS System Assistant who will support the HRPTS OM & System Access Officers, Senior HRPTS OM & System Access Officers and HRTPS System Manager in relation to the Human Resources, Payroll, Travel & Subsistence (HRPTS) system. This will include HRPTS Organisational Management (OM) maintenance and HRPTS Systems Access support. The post holder will also provide professional advice and support to managers and staff on a range of OM and System Access issues.

Duties include:

* Support the HRPTS OM & System Access Officers to ensure that OM / HR processing deadlines for weekly and monthly payroll closedowns are met.

* Assist with regular system audits in relation to OM cleansing issues such as Change of Name, Position Overview Report corrections, OM/PA data mismatches eg Location, Personnel Area, SubArea, SOC Code and Management Level monitoring etc.

* Assist in the development, implementation and updating of efficient OM processes and procedures and help identify areas for improvement.

* Develop good working relationships with other teams within HROD Directorate eg Employee Relations, Resourcing, Organisational Development & Learning etc and work with them in relation to OM issues as required.

* Assist with any updating of HRPTS user guidance documentation in relation to OM.

* Participate in any regional system testing when required.

* Raise any faults/fixes/system issues in relation to OM with the Senior HRPTS OM & System Access Officers for resolution or escalation.

* Processing of New Starts, Additional Organisational Assignments, Rehires and User ID swaps and setting Passwords and User ID’s for same.

* Raise any Consolidated Service ID (CSID)/User ID queries with ICT for resolution as necessary.

* Delimiting Leavers access, on a timely basis.

* Dealing with HRPTS password reset and login queries, and supporting staff members to log tickets on Ivanti (the Trust Incident Management System).

* Reset HRPTS passwords in HRPTS SAP Gui adhering to Data Protection protocols and communicating to users in a timely manner. This will include using the ICT Ivanti ticket system logged by users.

* Deal professionally with telephone/face to face enquiries from staff within the Trust, those outside the Trust, and members of the public, and in accordance with team protocols.

* Respond as necessary to the HRPTS OM & System Access Team emails account on a daily/ongoing basis.

* Maintain Application Professional Licences on Client 900 for leavers, internal transfers, maternity leave, long term sick leave etc.

* Assist with HRPTS Licence Management standard reports.

* Assist with the development, implementation and maintenance of efficient system access processes and procedures and raise any faults/fixes/system issues in relation to system administration with the Senior HRPTS OM & System Access Officers for resolution or escalation.

You will need:

* Have 4 GCSEs or equivalent, Grade C or above including English AND 1 year’s relevant clerical/administrative experience.

* Experience working with Microsoft Office such as Word and the PAS for the purpose of clinic booking and generation of patient appointment letters.

OR

* 2 years relevant clerical/administrative experience.

* Experience working with Microsoft Office such as Word and the PAS for the purpose of clinic booking and generation of patient appointment letters.

* Good organisational skills.

* Ability to work in a team.

* Ability to use own initiative.
