Description:

Job Description: As an admin officer you will be responsiable for processing and maintaining the school’s attendance system and working with key stakeholders to raise standards of attendance and punctuality. Handling the Admissions processes for new intakes and in-year applications. Organising key transition processes, prioritising increasing pupil numbers in line with the LA timescale and the strategic plan of the school. Furthermore, supporting the school ethos and vision by providing professional support and customer service to parents and visitors of our school.

Hours: 23 hours per week, 40 weeks per year (includes INSET days & 5 days during holiday period). (12pm – 4.00pm Monday to Thursday, 8.30am – 4.00pm Friday with 1/2 hour unpaid lunch)

Requirements:

* Mandatory knowledge of SIMS or similar school management systems.

* Ability to handle sensitive information confidentially and in accordance with GDPR.

* Abilty to multi-task and work under pressure.

Responsibilities

* Manage pupil admissions, including file transfers and communication with the Local Authority (LA) and parents.

* Process in-year admissions to maximize pupil numbers and update staff on necessary information.

* Maintain pupil records on SIMS and paper files.

* Arrange school tours and transport.

* Support SATS administration and reporting.

* Update and maintain the Class List folder and verify Free School Meals eligibility.

* Handle paperwork and transfers for leavers and in-year admissions.

* Oversee daily attendance registers and follow up on unauthorized absences.

* Liaise with the LA Attendance Officer to improve attendance.

* Refer pupils and families for Early Help Services as needed.

* Manage daily office operations, including customer service, ID/DBS checks, and correspondence.

* Ensure medical information is updated on SIMS and communicated to staff.

* Contact parents regarding injuries or accidents per the school’s First Aid Policy.

* Type and send letters to parents, ensuring accuracy and GDPR compliance.

* Update Privacy Notices and data processing logs.

* Distribute the school newsletter via ParentPay.

* Handle school event administration and perform office lock-up
