Nelson Permanent Placements are currently recruiting for a Timesheet Administrator to work for our client who operate in the Engineering industry. Our client is a well-established and reputable business who operate nationally and have a number of blue chip clients.

Responsibilities:

* Day to day administration of processing order and raising invoices allocated to you in a timely manner.

* The prompt and accurate raising of notification of orders from the notification system onto the Project Management System for UK and Ireland. Inclusive of raising Jobs, Invoices and internal Purchase orders where required.

* Ensuring all invoicing is completed on Project Management (Invoicing) System in accordance with business financial cut off deadlines

* Ensure all notification of orders have sufficient purchase order coverage from the client

* Answering telephone calls into the business as 1st point of contact professionally and distributing accordingly on a rota basis.

* Processing and inputting of all intercompany invoices raised

* Processing a large volume of timesheets to allocate labour costs to projects within the set KPI deadlines

* Update and maintain the relevant systems associated with the timesheet entry systems

* Input and maintenance of data records within spreadsheets and systems in accordance with company policy and process

* Ensure all relevant documents/correspondences are saved correctly within specific drives, directories and files

* Provide support for matching agency labour invoices to timesheet entry and processing of invoice

* Receive and respond to telephone and/or email queries from clients and internal departments in a timely manner

* General office and administration tasks, i.e Part of the postal rota, booking Hotel rooms, ordering of catering, stationery and office supplies

* Greet & sign in visitors, arrange refreshments & manage meeting room calendar.

* Provide cover for the wider administration team during periods of absence, including other departments

* Good numeracy and analytical skills

* Excellent computer and keyboard skills

* Excellent verbal and written communication skills

* Ability to collate data and format reports as required

* Excellent time management and organisational skills

* Ability to work without supervision; use own initiative and solve problems

* Keen eye for accuracy and attention to detail with a methodical approach

* Works well under pressure with ability to prioritise workload, multitask and deliver to deadlines
