Job Description
Job Title - Admin
Key responsibilities
Coordinate and manage customer compensation payments and ensure these are completed in a timely and efficient manner.
Manage, review and action outstanding actions after complaint closure and ensure compliance to timescales.
Assist with completing information/evidence packs for the Housing Ombudsman and stage 2 complaints.
Assist with meeting the regulatory requirements linked to complaints.
Resolve enquiries raised and keeping customers fully informed of next steps.
Regularly provide reports to the Service Improvement team on time critical business processes such as deadlines to review generic cases, complaint reminders and responses.
Collaborate with colleagues and customers to identify positive practice and new ways of working to deliver service improvements.
Accessing multiple systems to resolve or support resolution of issues.
Assist with administration in relation to ad hoc projects as and when identified.
Work to maximise customer satisfaction and minimise complaints and customer dissatisfaction by proactively tailoring support services and partnerships.
Monitor shared mailbox and respond to all queries in a timely manner. Monitor and respond to email customer queries.
Managing your own workload with minimal supervision.
Work proactively to promote a culture of performance management, seeking to achieve challenging individual and team targets and key performance indicators.
Treat all customers with courtesy and respect and ensure that their individual needs are met. Be accessible to customers and respond to their enquiries in accordance with LiveWest values and tone of voice.
Ensure the organisations policies and procedures are adhered to.
Maintain comprehensive, up to date and accurate records on the internal housing management system.
Points to note
Hours per Week: 37 hours per week
Working Pattern: Monday - Friday Hybrid (2/3 days in the Exeter office)
Expected Length of Contract: to September 2024
Required skillsets
Experience in a fast paced administrative role.
Essential prioritisation and time management skills.
Able to collaborate and negotiate with a wide range of internal and external customers
Previous experience of working in a customer service environment. (D)
Able to manage difficult situations.
Good record keeping and input skills.
Previous experience in administrating and dealing with complaints, or a demonstration of good customer care skills. (D)
Demonstrates a good level of patience and empathy.
Able to deliver high levels of customer care.
Able to meet deadlines within a fast paced and pressurised environment.
