Full Time Accountant

Job Description

Hayling Golf Club is searching for an experienced accountant to join our established (140 years) and highly regarded golf club (Top 50 in England).

We pride ourselves on delivering a high standard of experience for our members and guests in every aspect of our offering. The role is suited to an experienced practice accountant, who is a self-motivated professional and an effective communicator.

This role requires you to work both under your own initiative, and as part of a wider team including alongside the club’s Treasurer.

Excellent IT skills and a sound understanding of accounting principles are essential, as is the ability to organise and prioritise often conflicting workloads to achieve tight deadlines.

Accounting & Management Reporting

To prepare the monthly management accounts and assist in the preparation of the annual statutory accounts for presentation to the Management Committee. The preparation of the accounts will include commentary on significant budget variances, comparisons with last year and other key performance measures.

To prepare monthly management reports for distribution to Heads of Departments for review and approval. To prepare a monthly trial balance and balance sheet using Xero accounting software with an IG interface to record all revenue transactions and Xero for all purchase ledger transactions.

To manage all aspects of the balance sheet accounts including inter alia: sales ledger and purchase ledger control accounts, accruals and prepayments, and members’ card balances. This will include all aspects of debt collection.

To keep all books and records of the golf club up to date including inter alia: Fixed Asset Register, Society deposits, accruals, and prepayments.

To manage and maintain club funds including maintenance of the online banking facility and delegated authorities for payment processing and authorisation. This will cover the following activities:

* Monthly reconciliations of all bank accounts, including deposit accounts

* Monthly direct debits and standing orders processing

* Reconciliation of all credit / debit receipts

* Monitoring sales / subscriptions / deposit receipts to ensure a positive cashflow.

To ensure that a robust system is in place to monitor daily till / cash receipts from each retail area and to ensure the completeness of revenue accounting for the receipts.

To ensure that the following activities take place on a timely basis:

* Reconciliation of Xero bank transactions and maintenance of the Xero accounts system

* Daily cash management

* Sales invoicing

* Purchase Order processing and approval

* Purchase ledger processing

* Supplier approval and payments

* Monthly stocktakes

To liaise with the Club’s auditors regarding the annual statutory audit.

Payroll and Pensions

To manage and maintain all aspects of payroll processing, including monthly liaison with HMRC re: RTI. Payroll responsibilities include:

* Time sheet recording

* Monthly PAYE / NI payments

* Annual preparation and distribution of P60s and P11Ds

* Maintenance of leave and sick records

To manage the existing Group pension scheme and any auto-Enrolment schemes held by employees whilst in the golf club employment. Ensure compliance with all Pension Regulator requirements re: monthly reporting of all pension contributions (employer and employee) and changes of employment status. Ensure timely payment of contributions to Scheme providers for all employees.

Tax and HMRC

To maintain VAT records that meet HMRC requirements and prepare and submit quarterly VAT returns to meet the timetable.

To prepare the annual Corporation Tax data regarding sources of Green Fee income and to submit the data to the auditors for preparation of the annual Corporation Tax return.

Members Records

To maintain the members accounts database on IG, and record category and club card changes.

Maintain subscription database on IG, including annual rate changes. Provide club card and overdraft statements for members on request.

Process annual and rolling subscription renewals on IG and maintain records of payments.

Set up Fairway Credit (monthly) payment facility for members on request.

IT Systems

To act as the primary interface with the software providers:

* Xero for the accounting systems

* IG for the membership and till recording systems

To co-ordinate daily data storage and back up facilities with our IT support providers Network Fusion.

Other

Prepare the annual budget in liaison with the General Manager, Treasurer and Departments Heads for presentation to the Finance Committee.

Essential Requirements:

· Friendly, hardworking and able to work as part of a team.

· Experience of working within an accountancy practice or department.

· Experience of completing accounts and tax returns for individuals, landlords, partnerships and/or limited companies.

· Ability to liaise with our members and guests confidently and have a sound understanding of accounting principles.

Desirable Requirements:

· Fully qualified CIMA OR ACCA.

· Good IT skills and experience using Tax Calc and Xero software.
